We are looking to hire a Receptionist/Data Entry Clerk who will be responsible for all incoming phone lines(3), by greeting, screening and directing calls to the appropriate person(s) as well as greeting and directing customers, vendors and potential employees to the appropriate person(s). Additional phone duties include taking all proposal information accurately (i.e., name, address, phone, fax/email, job address, mapping of job and all information pertaining to said job).
Responsible for opening and distributing mail.
Responsible for assisting in various projects and correspondence from all staff including Owners, Salespeople, Administrative Assistant, Job Foreman, Safety Personnel & Installers.
Responsible for correspondence & filing accurately.
Responsible for scanning & archiving all job correspondence.
Responsible for accurate data entry, Accounts Payable, Accounts Receivable, Job Costing, Order Entry, Invoicing, Inventory verification, Maintain Scheduling & Job Confirmation (i.e., colors, authorization, downs payments, job readiness) and Tracking Employee Attendance.
Responsible for maintaining privacy of all matters of the operations, including personnel & in house correspondence.
Additional duties include timecard entry for hourly & commission based personnel using Time Clock software and all associated correspondence/entry.
The Front Desk Clerk is under direct supervision of the Administrative Assistant.
Any additional duties and/or clarification of duties and/or tasks should be directed to your Supervisor, the Administrative Assistant or owners.
