Receptionist



Summary:



As the Branch Receptionist and the first point of contact for visitors and customers, the branch


reception position plays a pivotal role in ensuring a positive and professional experience. The


position requires excellent communication and organizational skills as we as a friend and


approachable demeanor.

Essential Duties:



Answers, screens, and directs calls on multi-line phone system in a courteous and


professional manner; takes messages and/or forwards telephone calls to appropriate employee or


their voicemail

Clears messages each morning and delivers to appropriate employees

Meets and greets all visitors; determines their needs and directs them to the appropriate


employee or location

Responds to visitors, clients, and employees in a courteous and professional manner

Opens and routes incoming mail

Prepares and forwards outgoing mail and packages

Composes different routine correspondence as required

Performs general clerical duties, including but not limited to filing, photocopying, faxing,


and mailing as required

Codes and processes vendor invoices

Maintains office supplies and keeps reception area organized

Demonstrates a high level of professionalism in dealing with confidential and sensitive


issues

Qualifications:



Excellent verbal and written communication skills; strong interpersonal skills

Ability to deal effectively with a diversity of individuals at all organizational levels

Excellent customer service skills with a friendly and professional attitude

Ability to multi-task and manage time effectively

Proficient in working with Microsoft Office software

Ability to handle customer issues calmy and efficiently

Work Environment:




This role involves prolonged periods of sitting at a desk, frequent use of hands and fingers for


typing and handling office equipment, and occasional standing and walking to communicate with


different departments. You may need to lift and carry office supplies or small packages weighing up


to 20 pounds. Good vision and clear hearing are essential for reading documents and effective


communication. The work environment is typically climate controlled. Occasional exposure to the


busier Dealership floor and/or Service and Parts Departments could require additional safety


measures as needed to adhere to policies and procedures.


Additionally, this position involves frequent travel for meetings at various locations. While a CDL


license is advantageous for roles within our Dealership and Leasing Operations, it is not


mandatory. We adhere to DOT regulations to ensure compliance and utilize a CDL license if


available. Depending on the role, operating a heavy-duty truck within property restrictions may be


required.
