We are seeking a detail-oriented, organized, and proactive Quality & Credentialing Coordinator to support the daily operations of our Ambulatory Surgery Center. This role is essential to ensuring the ASC maintains compliance with regulatory standards, accreditation requirements, and internal quality benchmarks. The ideal candidate has strong administrative skills, experience with healthcare compliance or credentialing, and the ability to manage multiple responsibilities in a fast-paced clinical environment.
Key Responsibilities
Credentialing & Provider Management
Manage initial credentialing and recredentialing for physicians, advanced practice providers, and residents.
Maintain accurate, up-to-date credentialing files and documentation in accordance with CMS, AAAHC, state, and facility standards.
Communicate with providers and external organizations to obtain necessary documentation and verifications.
Assist in developing, tracking, and reporting QAPI metrics and initiatives.
Support data collection, audit preparation, and performance improvement projects.
Maintain quality-related records and ensure compliance with ASC quality programs.
Regulatory & Licensing Compliance
Coordinate ASC licensing renewals, registrations, and compliance documentation.
Prepare materials and documentation for regulatory surveys and accreditation reviews.
Maintain Environment of Care (EOC) logs, safety documentation, and compliance records.
Administrative & Operational Support
Maintain accurate and organized employee files, ensuring compliance with HR and regulatory requirements.
Support contract management including tracking expiration dates, renewing agreements, and maintaining contract files.
Manage purchase order (PO) requests and coordinate with vendors or internal departments.
Assist with invoicing, tracking payments, and ensuring completeness of financial documentation.
Meetings & Documentation
Prepare agendas, reports, presentations, and materials for all required ASC meetings (e.g., QAPI, Governing Board, Medical Staff, EOC, Infection Control, etc.).
Record, distribute, and maintain meeting minutes in a timely and compliant manner.
Coordinate meeting schedules and ensure all participants receive required documentation.
Residency Program Coordination
Support onboarding and documentation requirements for rotating residents.
Ensure training, files, and compliance requirements are completed prior to rotation start.
Qualifications
Experience in an ASC, hospital, medical office, or healthcare administrative role preferred.
Knowledge of credentialing processes, quality programs, or regulatory compliance strongly preferred.
Strong organizational skills with exceptional attention to detail.
Ability to manage sensitive and confidential information.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and ability to learn internal systems.
Excellent communication skills (written and verbal).
Ability to prioritize multiple tasks and work independently.
