Position Summary



Maintain the associated databases and distribute forms and reports for health system recall and MHS contract management databases Create and submit capital requests to GPO for review and approval Support assigned departments with purchase order creation and reconciliation Assist the purchasing department in creating and issuing purchase orders and credit card orders Assist the purchasing department in the reconciliation of invoiced but not received invoices and purchased but not received invoices Maintain Infor FSM ERP contract interface with GPO to ensure that pricing and item data remain up to date. Work with the MH Finance Department to cleanse the item master and contract data to align with the needs of our clinical bridge system, which interfaces with Epic

Essential Duties & Responsibilities



Continually update and maintain our recall and contract databases, as needed, depending on timing of recalls and expiring contracts Generate and distribute recall notifications and track the correlated responses to these notifications in a centralized database. Assist purchasing specialists with purchase order creation and procurement card purchases on a weekly basis Provide purchasing support for assigned departments, which includes the creation of, and issuing of, purchase orders for the assigned department. Submit requests to health system GPO for review and approval of contracted and off contract capital purchases and service proposals Assist purchasing specialists with reconciliation of invoiced not received invoices, purchased not received invoices and contract price discrepancies on a weekly basis Act as coverage backup to purchasing specialists as needed, by running and issuing purchase orders, expediting orders as necessary and offering direct support to those departments when they are in need of support or product research. Act as backup to data specialist as needed which includes loading of contracts in the ERP system and also updating contract lines and/or items. Also perform this duty when emergencies fall outside of normal hours for the primary data specialist.

Minimum Qualifications



High school diploma or equivalent. Computer literate (strong computer based skills for email and other applications)
