The Purchasing Administrator provides administrative and operational support to the Purchasing Department to ensure the timely and accurate flow of materials through the manufacturing process. This role is critical in maintaining inventory accuracy, resolving discrepancies, and supporting purchasing and accounting functions to keep production running smoothly.
This is a hands-on, onsite position working closely with Purchasing, Accounting, Inventory Control, and Receiving teams.
Key Responsibilities
Review, verify, ensure all packing slips are signed, accurate, and properly entered the system
Process returns and internal transfers within the Purchasing Department
Investigate and resolve invoice discrepancies in partnership with the accounting team
Assist the Inventory Controller by entering and maintaining shortage and repair information in the shortage report
Support Purchasing Agents by maintaining and updating the backorder report
Communicate with vendors, receiving, and internal departments to resolve material and documentation issues
Maintain accurate records and files related to purchases, receipts, shortages, and returns
Support continuous improvement in purchasing and inventory processes
Requirements
A High school diploma or GED required
Strong data entry accuracy and attention to detail
Ability to prioritize tasks and meet deadlines in a fast-paced environment
Understanding of purchase orders, packing slips, and invoices
