Job Description

Under general supervision of the Public Works Administrative Manager. Performs general administrative work in support of department activities and programs, including customer service, purchasing and procurement, distribution of public information, and safety.


Detailed Work Activities


----------------------------


1. Assists in preparation of documents and special projects.

2. Assists with purchasing for the department, including uniforms, PPE, safety equipment, office supplies, street signs, and other specialty

materials, while ensuring compliance with NC General Statues governing purchasing.

3. Assists with customer support for solid waste services contract.

4. Coordinates new employee safety training at onboarding. Maintains safety logs, employee safety files, and Material Data Safety (MDS)

Sheets. Coordinates with the Director to schedule professional training for department employees.

5. Maintains Department files, including training certificates, personnel files, vendor records, vehicle and equipment documents, and

photographic records.

6. Monitors fuel levels and coordinates with Director to order fuel to meet town needs. Updates users and vehicles in fuel station

management system. Creates monthly fuel report of departmental usage and sends to Finance department.

7. Liaison to solid waste contractor regarding new services and service issues. Maintains white good program information and submits

annual reporting to Finance department.

8. Prepares bi-weekly payroll, monthly leaves sheets, and hours worked logs.

9. Maintains on-call list and notifies on call service of changes.

10. Escorts employees for drug and alcohol testing when needed.

11. Documents departmental workplace accidents and assists staff in seeking medical assistance, submitting incident reports, and

coordinating with Human Resources. Completes OSHA 300 forms for workplace accidents and illnesses as needed.

12. Provides assistance and support to department managers, including record keeping and reports.

13. Provides general assistance to department staff as needed and to Town staff as related to Public Works and its activities.

14. Creates and maintains public information for Department website and social media accounts for stormwater, sanitation, recycling, and

other departmental programs.

15. Supports Department and Town events, including scheduling, purchasing supplies, set-up and take-down, provision of food, and work

during events.

16. Provides support during inclement weather events and other emergencies.

17. Performs other duties as required.

1. Working knowledge of general office systems, equipment, and

processes.

2. Ability to establish and maintain appropriate records.

3. Ability to establish and maintain good working relationships with

employees, agencies, partners, vendors, and the general public.

4. Strong written and verbal communication skills.

5. Ability to demonstrate good computer skills and proficiency in the

Microsoft Office suite, especially Outlook, Word, and Excel.

Desirable Education and Experience



1. Associates degree in Business or a related field or the equivalent

combination of training and experience.

2. Supplemental continuing education courses and/or seminars from the

Institute of Government related to purchasing functions and activities,

or the ability to complete the courses within 2 years.

3. Valid North Carolina Driver's License.

4. Notary Public preferred, but not required.
