POSITION SUMMARY: Our client, Grant, Herrmann, Schwartz, & Klinger (GHSK) is looking for an experienced Property Account Manager. The Property Account Manager is a critical, front-line, customer-facing role that independently manages the ongoing upkeep and upgrades of properties while building and maintaining strong client relationships. Responsiveness, timeliness, and customer-focused interactions are the key to this role, ensuring clients continue to work with GHSK year after year. Day to day duties include oversight of upkeep and maintenance of properties, maintaining organized and up to date property and financial documentation, ensuring compliance with financial, tax, and other laws and regulations, and overseeing day-to-day tasks of the Property Manager Assistant. Additionally, this role ensures on-time payments to Grant Hermann are collected and processed, ensuring timely and customer-focused follow-up when payments are late. ESSENTIAL FUNCTIONS: Manage Client and Third-Party Relationships

  • Build and maintain strong collegial relationships with clients, ensuring they feel taken care of.
  • Communicate frequently with clients, both verbally and in writing, providing them with clear guidance, providing requests for documentation and answers to questions.
  • Collaborating with clients and GHSK attorneys to determine best approach to resolving issues (for example, property damage remedy strategies, insurance claims strategies, and tenant remediation strategies).
  • Proactively keep clients up to date on status of projects, and properly manage expectations regarding timelines.
  • Manage tenant relationships, ensuring a smooth relationship that reflects well on both the client and GHSK.
  • Attend to clients quickly and with a sense of urgency in answering questions and verifying information, sending reports and budgets, and fulfilling other requests.
  • Investigate and resolve client complaints; enforce rules of occupancy; contract with technicians, building staff, and the city.
  • Manage relationships with independent contractors, including providing and collecting all required documentation.
  • Communicate with accountants to check progress or changes of returns.
Manage Properties
  • Coordinate access to properties for minor renovations, and review of any associated documents and contracts, as well as coordinate payments.
  • Organize incoming and outgoing inspections and prepare inspection reports
  • Collect monthly assessments, rental fees, and deposits and payment of insurance premiums, mortgage, taxes, and incurred operating expenses.
  • Maintain and update utility accounts and provide technical support
  • Keep track of common charges and provide the necessary paperwork to tenants
  • Keep track of the duration of special assessments
  • Process insurance claims by notifying insurance company, filing claims, corresponding with adjusters and clients to review findings.
  • Visit properties to meet with clients or to oversee installations and repairs, ensure delivery of equipment or materials, verify progress and completion of work.
Process Property-Related Payments (AP and AR)
  • Oversee the processing and posting of outgoing and incoming wire transfers, bank charges, interest and auto debit payments, and transfers between Trust Real Estate and PM accounts.
  • Oversee payments for various payments due, such as mortgages, taxes, and accountants, and the checking of invoices for discrepancies, approvals from clients, and processing of payments.
Maintain Property Financial Documentation
  • Prepare detailed budgets and financial reports for properties, including monthly Statement of Accounts
  • Prepare annual, semiannual, and monthly financial reports for taxes and required material for tax documents
  • Review general ledgers, reconciliations, and bank statements for GHSK Tax Returns
Maintain Property General Documentation
  • Oversee creation and upkeep of records and documentation, ensuring Property Manager Coordinators and Property Manager assistants maintain accurate and up to date records.
  • Solicit and analyze bids from contractors for repairs, renovations, and maintenance.
  • Ensure Property Manager Assistant maintains accurate lists of clients, mortgages, insurance, etc.
Intake Properties
  • Oversee creation of new property management accounts, including:Review intake forms and corporation documents attached to new PM files
Send documents to accountant to set up FYE and update Franchise tax return list
  • Prepare estimated budget including common charges, mortgages, assessment fees, property, real estate, etc.
  • Set up utility accounts and check property tax records
  • Obtain common charges details from building management and setup GHSK to receive bills
Oversee Property Management Assistant(s)
  • Train Property Manager Coordinators and Property Manager Assistants in processes and best practices for their roles and provide follow-up training and feedback as needed.
  • Delegate and oversee day to day work of Property Manager Coordinators and Property Manager Assistants, ensuring that clients are responded to in a timely and customer-forward fashion, deadlines are met, and paperwork is kept in order.
QUALIFICATIONS: Minimum Education: Bachelor\xe2\x80\x99s Degree Languages: English (required), Spanish and/or Portuguese (preferred) Preferred Experience and Knowledge:
  • 3+ years\xe2\x80\x99 experience as a property account manager or in a similar role.
  • Strong written and verbal communication skills
  • Strong organization and time management skills
  • Proven ability to lead a project from start to finish, including maintaining constant communication with clients, advisors and colleagues.
  • Desire to learn about overall firm practice and governance
  • Team player who enjoys working in a collaborative and fast-paced environment.
  • Must be flexible and able to multitask and prioritize work in an efficient manner.
SCHEDULING REQUIREMENTS
  • Requires some flexibility in scheduling, such as the ability to work evenings and weekends to meet client deliverables.
TRAVEL REQUIREMENTS
  • May require light travel to the firm\xe2\x80\x99s Miami, FL office.
