Process Server One is seeking a meticulous, reliable, and highly detail-oriented
Proofreader
to ensure the accuracy, clarity, and professionalism of all written materials produced by the organization. The Proofreader plays a critical role in maintaining the company's reputation for precision, legal compliance, and high-quality service by reviewing documents for grammatical correctness, formatting consistency, factual accuracy, and adherence to legal and company standards.
This position requires exceptional attention to detail, strong language skills, and an understanding of legal or service-related documentation. The Proofreader works closely with administrative staff, process servers, and management to verify that affidavits, court filings, correspondence, reports, and internal documents are error-free, consistent, and ready for submission or distribution.
Key Responsibilities
Document Review and Editing
Proofread a wide range of documents including affidavits of service, court filings, legal correspondence, client communications, internal reports, invoices, and company forms.
Review documents for spelling, grammar, punctuation, syntax, and clarity without altering the original meaning or intent.
Ensure consistency in terminology, formatting, dates, names, addresses, and case details across all documents.
Identify and correct typographical errors, formatting issues, and inconsistencies prior to final approval or submission.
Legal Accuracy and Compliance
Verify that legal documents comply with court requirements, jurisdictional standards, and company policies.
Ensure affidavits of service and related legal documents contain accurate information, including names, dates, locations, and service details.
Flag potential legal inaccuracies, missing information, or inconsistencies and communicate them promptly to administrative staff or management.
Maintain awareness of common legal terminology used in process serving and court filings to ensure proper usage.
Quality Control
Serve as a quality control checkpoint before documents are filed with courts or sent to clients.
Review completed work from administrative staff and process servers for accuracy and completeness.
Develop and maintain proofreading checklists and style guidelines to support consistency across all company documents.
Assist management in identifying recurring errors and recommending process improvements.
Collaboration and Communication
Work closely with administrative assistants, office managers, and process servers to clarify document content when needed.
Provide clear, constructive feedback regarding errors or corrections while maintaining professionalism and teamwork.
Communicate deadlines, revision needs, and document status effectively.
Support training efforts by helping staff understand common proofreading issues and best practices.
Formatting and Style Consistency
Ensure all documents adhere to Process Server One's formatting standards, branding, and style guidelines.
Standardize fonts, spacing, headings, numbering, and layout across documents.
Review templates and forms periodically to ensure they remain current, accurate, and user-friendly.
Assist in updating company templates to reflect changes in procedures or legal requirements.
Record Management
Maintain organized records of reviewed documents, revisions, and approvals.
Track document versions to ensure the most current and correct version is used.
Assist in maintaining digital filing systems for proofread materials.
Support audits or internal reviews by ensuring documentation is complete and accurate.
Required Qualifications
High school diploma or equivalent required; associate's or bachelor's degree in English, communications, legal studies, or a related field preferred.
Proven experience as a proofreader, editor, administrative assistant, or quality control specialist.
Exceptional command of English grammar, spelling, punctuation, and sentence structure.
Strong attention to detail and ability to detect errors others may overlook.
Ability to work independently while meeting deadlines.
Proficiency with Microsoft Word, PDF editing tools, and other standard office software.
Strong organizational skills and ability to manage multiple documents simultaneously.
Preferred Qualifications
Experience working with legal documents, court filings, or service-of-process paperwork.
Familiarity with legal terminology and document formatting requirements.
Experience proofreading high-volume or time-sensitive materials.
Knowledge of document management or case management systems.
