$20/hr

We specialize in marketing roadmaps, branding, and web design with a full suite of value-add services that empower our clients to confidently grow their businesses.

We're seeking a highly organized, proactive

Project Manager

who thrives in a fast-paced, team-centered environment. You'll work closely with our founder, Crystal Oakes, our creative team, and our amazing clients to ensure every project moves forward efficiently, effectively, and on schedule.

, including Asana (project management), VSCO (formerly Tave) (CRM), Google Drive (file organization), WordPress, Slack, Dropbox, and Stripe (payment processing).

Primary Responsibilities


Project Coordination & Team Management



Assign and track tasks using Asana to ensure projects stay on schedule. Facilitate weekly check-ins, monitor progress, follow up on action items, and hold team members accountable to deadlines. Clarify expectations, communicate deadline shifts, and identify and resolve bottlenecks before they impact delivery. Help turn the creative team's vision and strategy into clear action steps for projects.

Client Onboarding & Communication



Manage new client setup in VSCO and facilitate onboarding questionnaires. Coordinate client meetings, respond to general inquiries, and deliver project updates or timeline nudges. Make phone calls to clients and attend virtual or in-person client meetings as needed to ensure project success. Gather and organize client-provided content and information to support project flow.

Admin & Systems Management



Maintain organized digital filing systems (Google Drive or equivalent). Schedule meetings, manage Crystal's calendar, and prepare team meeting agendas/notes. Log contractor hours and ensure accurate tracking of monthly time reports.

Quality Control & Process Improvement



Review project timelines and phases to ensure alignment with the client strategy. Track recurring service time and facilitate planning meetings. Look for ways to improve workflows and eliminate delays before they impact delivery.

Required Skills



High-level organizational skills and attention to detail. Confidence in managing deadlines and deliverables across a diverse team. Strong communication skills (written and verbal). Proficiency with tools like Asana, Google Workspace, VSCO (or similar CRM systems), and Slack. Familiarity with marketing and creative workflows is a plus. A natural ability to problem-solve, prioritize, and stay two steps ahead. Comfortable working independently and taking ownership of tasks.
