JOB DESCRIPTION
The Project Manager at Happy Medium plays a critical role in ensuring projects are delivered on time, within scope, and on budget while maintaining a sense of calm, clarity, and collaboration across teams. This role requires a strategic thinker who thrives on organization, clear communication, and proactive problem-solving. Working across both Happy Medium agency clients and EverDwell software clients, the Project Manager supports Account Managers and team leads to translate client goals into actionable project plans. This person acts as the internal conductor, aligning resources, timelines, and deliverables to keep complex initiatives moving smoothly.

RESPONSIBLITIES
Project Planning & Execution
Translate client goals and briefs into actionable timelines, tasks, and deliverables using Workamajig and SystemHub.
Manage project schedules and coordinate cross-functional team efforts to ensure deliverables meet deadlines and quality standards.
Anticipate potential risks or delays and proactively develop solutions to keep work on track.
Maintain accurate project documentation, ensuring all assets, approvals, and communications are organized and up to date.
Team Coordination & Communication
Serve as the primary internal point of coordination for assigned projects, ensuring Account Managers, strategists, designers, developers, and other contributors are aligned and informed.
Facilitate efficient communication through Slack and Google Workspace to ensure all stakeholders have visibility into project progress.
Lead or participate in internal project meetings, providing clear next steps and follow-ups to maintain momentum.
Process & Profitability
Track budgets, timelines, and resource allocation to support project profitability goals.
Ensure accurate data entry and time tracking in Workamajig to maintain financial transparency.
Identify opportunities to improve processes and workflows within SystemHub for greater efficiency.
Partner with Account Managers to flag potential scope changes and ensure proper documentation and approvals.
Quality & Client Satisfaction
Support the Account Manager in preparing deliverables for client review and ensuring internal quality control standards are met.
Champion internal accountability for client satisfaction through on-time, error-free, and strategically aligned deliverables.
Contribute to post-project reviews to identify wins, challenges, and process improvements.
DESIRED SKILLS & EXPERIENCE
3+ years of experience in project management, ideally within an agency, marketing, or tech environment
Proven ability to manage multiple concurrent projects and deadlines
Strong understanding of project management methodologies and tools
Excellent verbal and written communication skills
High attention to detail with strong organizational and analytical thinking
Confident decision-maker and problem-solver under pressure
Team-oriented, positive, and proactive mindset
Familiarity with Workamajig, SystemHub, Slack, and Google Workspace a plus
