Job Summary:
The Project Coordination Intern will assist the project coordination team in organizing and managing office duties. The primary duties include performing administrative tasks.
Duties/Responsibilities:
Assist in maintaining the project filing system and organization of project files both physical and digital.
Answer phone calls and take messages.
Accounting Duties as follows:
+ Review Invoices for accuracy within 24 hours of receipt.
Confirming tax codesDeliveries
+ Assist in communicating with Customers regarding: Job information sheets, COD forms, Collecting Credit Card payments, Credit applications, Confirming site contact information and delivery address.
Conduct Project closeouts.
Update Project Tracking:
+ Updates data in HubSpot and logs visits and activities as needed.
+ Update tracking report for Castings, Hatches, and Job-Specific items purchased for projects with purchase requests. Upload PM catches into the Quality Tracking spreadsheet and notifies the Project Manager Supervisor of common occurrences.
Complete Job specific paperwork: DOTD, LCG, EBR, Etc.
Assists PCs with any job-related forms/documentation required.
Assist with job orders and work orders as instructed.
Attend Change of Hands meetings, take notes, and provide summary of action items.
Perform other related duties as assigned.
