This is NOT a remote position - the job requires in-person work.


This position is created specifically to support the Kaho?iwai: Reclaiming Hawaiian Knowledge Sovereignty project, funded by the Mellon Foundation. The position is located at the University of Hawai?i Maui College, and is renewable annually for the duration of the grant, pending funding availability and performance review.

Duties and Responsibilities:

*Provide administrative support to the project, including scheduling meetings, managing multiple project calendars, and handling correspondence.
*Operates fiscal and procurement functions, including purchasing equipment and supplies, communicating directly with vendors, and serving as a liaison between vendors and institutional offices such as the college business office and University of Hawaii (UH) central accounting offices.
*Coordinates travel arrangements for project staff and participants, including securing approvals, managing logistics, and ensuring compliance with institutional travel policies and procedures.
*Track project expenses and assist the Project Director in budget management and reporting.
*Assist in consultations with Hawaiian language and cultural experts to ensure the Hawaiian Knowledge Organization System (HKOS) reflects Hawaiian perspectives and cultural rigor, including scheduling, taking notes, meeting minutes, and related documentation and correspondence.
*Assist in the collection, organization, and analysis of data.
*Assist in the research of ?Olelo Hawai?i terminology and descriptions for HKOS and the Hawaiian Language Newspaper Index.
*Assist in organizing and coordinating community engagement sessions, working groups, feedback forums, public presentations, summits, and other outreach and engagement activities to promote the project and its objectives.
*Oversee and respond to all correspondence related to the project, ensuring timely and effective communication with team members, stakeholders, and community partners.
*Assist in drafting and coordinating project-related communication, including reports, presentations, updates, and the project website.

Minimum Qualifications:



Education and Professional Work Experience:

Possession of a baccalaureate degree in Hawaiian Studies, Hawaiian Language, Humanities, Business, or Social Science fields, or related field, or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills, and abilities as indicated.

Knowledge, Skills, and Abilities:

Functional knowledge of principles, practices, and techniques in the area of project coordination, office administration, and communication, demonstrated by knowledge, understanding, and ability to apply concepts and terminology. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations, and systems associated with administrative and fiscal operations in a higher education or similar institutional setting. Demonstrated ability to recognize problems, identify possible causes, and resolve the full range of problems that may commonly occur in the area of program administration, scheduling, procurement, and communication workflows. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members, and individuals. Demonstrated ability to operate a personal computer, apply word processing software, and use spreadsheets and Google applications.

Supplemental Minimum Qualifications:



Demonstrated ability to take initiative on projects and quickly learn new tools/skills. Demonstrated ability to manage multiple tasks and meet deadlines accurately. Excellent organizational and communication skills for working with staff, administrators, and community partners.

Desired Qualifications:

Proficiency (intermediate or higher level) in reading, writing, and speaking ?Olelo Hawai?i. Experience in project coordination and administrative support. Experience in preparing, processing, and tracking travel authorizations, reimbursements, and related documentation. Experience with purchasing, procurement, or fiscal recordkeeping in an institutional or business setting. Experience using university or state travel systems (e.g., Concur, UH Kuali, or similar platforms). Demonstrated knowledge of the Native Hawaiian language, history, politics, culture, practices, and contemporary issues.
