The Program Manager (PM) works closely with the Director of Programming (DoP) in a role that combines supervision, program administration, compliance, incident management, and direct service across the programming department. This position is responsible for overseeing all aspects of the service delivery process as it relates to Variety's Summer Vocational program. This position is a manager level position with significant internal and external communication that works collaboratively with the programming team to ensure the delivery of safe, high quality programming. Oversight includes but is not limited to: maintaining communication with Direct Support Professionals, referred to hereafter as staff, and ensuring that trainings, trackers, progress notes, monthly reports and any additional paperwork are completed and satisfactory. PM is responsible for taking the lead on supporting and planning for program related events as defined by DoP. PM is expected to provide direct service in any program as the department requires and will maintain a regular amount (subject to change) of billable hours in VarietyWorks programs from September through May. PM is responsible for communicating with OVR, ODP, and private supports coordinators, families, clients, and other stakeholders to ensure a high quality of service provided by all program staff under their supervision. PM assists in the review and development of monthly department reports as well as distributing them to the leadership team of the Variety. PM is responsible for duties related to incident management and quality management. PM is responsible for interviewing and hiring program staff for programs under their supervision. PM precedes the Director of Programming, and other VarietyWorks Program Managers in back up plans for all programs. PM is expected to communicate effectively with DoP and other PM's to ensure that any staff shared across programs are jointly managed appropriately and are allocated sufficient time to complete all related work tasks. PM is also expected to support licensing and audit efforts ongoing. PM must be a team player with ability to take initiative.

Essential Functions

Ensure the health and safety of participants during all programs with special emphasis on summer vocational program and assigned programs as needed.

Design, evaluate and implement program curriculum for all programs under PM's oversight. Responsible for securing coverage and being in the back up plan (staffing) if needed for all programs under PM's oversight. Provide direct service as a substitute for any program as needed.

Assumes primary duties of incident management including but not limited to crisis/incident management, the review of incident reports, entering of data into HCSIS databases, point person management of incidents within the state electronic incident management system in collaboration with the DoP.

Recruitment and outreach for seasonal hires

Coordinate program-related events and/or serve as liaison to administration and other departments for program-related events

Updating trackers related to hours worked by staff and ensuring that all staff billable hours trackers are up to date as well.

E-mail and communication with all aforementioned stakeholders.

Recruit, interview and begin onboarding process for new staff.

Provide direct care and behavior supports to clients as needed. Conduct and assist with staff trainings as needed. Assist individuals with disabilities in learning job skills necessary to gain and maintain a job in the community. Maintain daily documentation and ensure compliance with ODP, School District, and OVR funding streams.

Ensure development, review, analysis and completion of department Quality management plan.

Attend trainings as necessary to acquire and maintain certifications. Provide a positive experience for all individuals being supported. Prepare all documentation and ensure that notes, reports, etc. are completed in a timely manner for billing.

Audit preparation and completion in collaboration with DoP with a special emphasis on client files and progress notes.

Coordinate transportation for clients, as appropriate, which may include driving agency vehicles to transport them. Plan for and purchase all related program materials including but not limited to; food items, adaptive equipment, and personal protective equipment for programs under PM's oversight. Gather demographic information and track outcome indicators in a timely and accurate manner. Participate in Intake and ISP/IEP meetings. Support audit and licensing efforts ongoing.

Non-Essential Functions



Attend relevant workshops or join professional groups as necessary to maintain professional knowledge and licensure. Attends relevant staff meetings to promote communication and execution of goals. Participate in assigned events that may occur after regular business hours and weekends. Completes special projects specific to the function of the department or as needed for the department as directed by supervisor. Other duties as assigned within the scope of position expectations.

Knowledge, Skills, and Abilities



All Staff Competencies

Basic understanding of Variety's mission, values, programs and services, and strategic plan. Knowledge and understanding of the target community needs and demographics. Understanding of legal criteria for issues such as confidentiality, child abuse, and mandated reporter requirements. Ability to provide nonviolent intervention with a high level of ethical standards of conduct, cultural sensitivity and within appropriate boundaries and limits. Ability to effectively use standard office equipment. Possesses strong interpersonal skills as demonstrated by courteous, cordial, cooperative, and professional interaction with diverse groups of co-workers, external business partners, and the community. Ability to operate a computer and use a variety of common software programs including Microsoft Office, and customized databases. Adheres to all Variety and departmental policies and procedures. Attends all Variety in-services as required. Strong written and verbal communication skills and effectively communicate with individuals and groups.

Experience, Education, and Licensure



Experience

: 3+ years' experience with individuals with intellectual disabilities. Experience with community employment, specifically the services within the job coaching service definition. Supervisory experience preferred.

Education:

BS or BA in related field.

Other Requirements:



Valid Driver's License - Job will be located in Worcester, PA, but travel to and from other locations on a regular basis is required. Effective and efficient oral and written communication. Must pass all necessary background and clearance checks.
