We are seeking a detail-oriented, self-starting Program Coordinator to work under the supervision of the Just Energy Transition (JET) Center\'s Program Manager. As Program Coordinator, you will plan, organize, and coordinate functions and programs related to the Center\'s day-to-day activities, per your supervisor\'s priorities, time limitations, funding limitations, or other specifications.

Working Environment

Work will include extended periods of sitting, keyboarding, and manipulating a computer mouse; standing for varying lengths of time; walking moderate distances; and lifting, pushing, and pulling up to 25 pounds. Regular activities require the ability to quickly change priorities which may include resolution of conflicts.

Flexible work options:

  • Alternative work schedules can include four, 10-hour workdays in a workweek; a nine-day, 80-hour schedule over two workweeks for exempt employees only; and staggered start and stop times.
Hybrid work is an arrangement where employees spend a minimum of 60% of their regular workweek at their primary ASU work location. Dean or vice president-level approval is required.

Minimum Qualifications

Bachelor\'s degree in field appropriate to area of assignment AND two years administrative/coordinator program experience; OR, Six years of progressively responsible administrative/coordinator program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Experience in proofreading and editing written work.
  • Experience working on grant-funded projects.
  • Budgeting and bookkeeping experience.
  • Experience in researching and compiling information for memos.
  • Meticulous attention to detail.

Grant Funded Position

This is a grant funded position. Continuation is contingent on future grant funding.

Essential Duties
  • Schedule all internal and external meetings
  • Manage staff calendars
  • Develop meeting agendas, including but not limited to: weekly staff meetings and regular County of Hawaii meetings
  • Attend in-person and virtual internal and external meetings and workshops to support Center staff
  • Take notes and produce meeting summaries with assigned tasks and timelines for all internal and external meetings
  • Organize logistics for community workshops and meetings (e.g., reserving space, ordering food, maintaining lists of participants, etc.)
  • Manage communications for community workshops and meetings
  • Update contact spreadsheet monthly
  • Maintain website content to keep it up to date
  • Assist in budget preparation and forecasting
  • Assist in grant proposal development
  • Keep track of major accomplishments and milestones to support grant report writing
  • Meets deadlines and responds in a timely manner to communications (email, calls, texts)
As Needed:
  • Plan, confirm, and process travel for Center staff
  • Develop meeting materials, such as slide decks for community meetings
  • Liaise with ASU HR for any employee reimbursements, issues, etc.
  • Conduct research
  • Write research and grant reports
Salary Range

$20.20 - $27.86 per hour; DOE
