Job Description


Overview

Incumbents in the Program Coordinator I position plan and coordinate the graduate program in the Computer Science (CS) Department. The Program Coordinator I will advise and assist prospective and current graduate students in the development of academic plans and class schedules as well as assess students\xe2\x80\x99 academic level, reply to students\xe2\x80\x99 academic inquiries, and advise students on their course selection and academic program changes. The Program Coordinator I will work with the Graduate Admissions Committee to coordinate application reviews and help potential students with the application process. The Program Coordinator I will report to the Academic Advisor Coordinator and the Department Head.

Responsibilities

  • Graduate student guidance (35%)
  • Monitor graduate student needs through one-on-one interactions, surveys, etc. This includes monitoring progress toward degree completion, student health (including mental health), and well-being. Advocate for graduate students and make recommendations as needed.
  • Refer students to campus resources as needed.
  • Facilitate faculty mentoring by identifying problems/bottlenecks and providing timely reports or feedback.
  • Provide students with information regarding university and department policy & program requirements.
  • Help students develop Programs of Study and review students\xe2\x80\x99 Programs of Study to ensure the degree requirements are met.
  • Assist students with course selection and registration.
  • Track and maintain graduate student records (25%)
  • Develop and maintain current graduate student file databases and graduate folders.
  • Track student progress within their program and communicate it with faculty advisors and the Department Head.
  • Collaborate with students and faculty to ensure completion of all university and department graduate degree requirements, i.e. forms are submitted by the appropriate deadlines and GPA/Program of Study requirements are met.
  • Submit, review, and approve graduate student forms.
  • Compile and track data regarding CS graduate programs, providing reports to the Department Head and faculty as needed.
  • Track combined bachelor\xe2\x80\x99s/master\xe2\x80\x99s students and provide them with information regarding their projected master\xe2\x80\x99s program.
  • Facilitate graduate courses (Thesis Research, Dissertation Research, and Co-op Experiences) where the coursework is primarily determined by a work or faculty supervisor.
  • CS Graduate Admissions Committee coordinator (15%)
  • Use the Graduate School Recruitment Tool to compile and track data pertaining to recruitment and provide recommendations to the Graduate Admissions Committee.
  • Coordinate application reviews with the CS Graduate Admissions Committee, including distributing application materials to the committee, requesting reviews, tracking the review process, and processing admission decisions.
  • Act as liaison with prospective students by providing potential students with information about programs/applications and assisting students with the application process as needed.
  • CS Department liaison with the Graduate School and College of Science (10%)
  • Represent the CS Department at Graduate School and College of Science GPC meetings and make recommendations for new policies arising from these meetings. Bring updates from the College of Science and Graduate School back to the CS Department.
  • Collaborate with the other College of Science GPCs to develop programs to enhance graduate student training.
  • Ensure students meet specific requirements of the College of Science, including annual reviews, individual development plans, mentorship agreements, and graduate instructor training.
  • Coordinate new graduate student orientation and onboarding activities (5%)
  • Organize the annual new student orientation event and other meetings with students who join outside of fall semesters.
  • Facilitate orientation meetings.
  • Graduate Teaching Assistantship (GTA) and Graduate Research Assistantship (GRA) coordination (5%)
  • Prepare and distribute GTA and GRA applications.
  • Serve on the GTA Assignment Committee. Recommend GTA assignments based on faculty observations, course evaluations, and other performance metrics.
  • Initiate GTA/GRA contracts, indicating obligations, requirements, and responsibilities and synthesizing information relating to progress in degree, performance, and supervisory committee feedback.
  • Check tuition waivers to make sure they were applied correctly and Graduate Teaching Assistants and Graduate Research Assistants are registered for the correct amount of awarded credits.
  • Graduate program materials coordination (5%)
  • Assist in the maintenance of graduate pages on the CS Department website.
  • Assist the Graduate Curriculum Committee with the annual review and updates of the department-approved changes on the graduate program Catalog pages.
Qualifications

Minimum Qualifications:
  • Bachelor\xe2\x80\x99s degree in a related field; or an equivalent combination of education plus experience is required.
  • Ability to communicate well verbally and in writing
Preferred Qualifications:
  • Ability to work under pressure and in high-stress situations while maintaining professionalism
  • Ability to work both independently and in a team setting with a commitment to creating a collaborative environment
  • Excellent computer skills
  • Ability to maintain confidentiality, sensitivity, and discretion and abide by all FERPA laws
  • Ability to serve diverse individuals through effective interpersonal and communication skills using various communication media
  • Experience with advising
  • Extensive advising-related work experience
  • Experience with USU Banner systems
  • Proven experience in data collection, report generation, and data management
