Position Summary
Phase 3 Training Corporation seeks a highly organized Program Coordinator to support workforce programming across our Baltimore and Washington, D.C. offices. This role is central to day-to-day program execution and office operations, including training logistics, participant support coordination, documentation/compliance (including SNAP E&T), and outreach. The Program Coordinator works closely with program, student support, and operations staff to ensure participants receive high-quality services and that program records are accurate, timely, and audit-ready.
Key Responsibilities
Program Administration & Compliance
Coordinate participant intake, enrollment, and case file setup.
Maintain accurate digital and physical records; ensure documentation meets funder/state requirements (including SNAP E&T, WIOA, TANF, ect.).
Track attendance, participation hours, credential progress, supportive services, and outcomes.
Prepare routine reports and assist with monitoring/audits.
Manage program calendars, deadlines, and internal reporting checklists.
Training & Programming Logistics
Support planning and delivery of trainings, orientations, workshops, and employer events.
Manage logistics: space setup, materials prep, rosters, sign-ins, and follow-up communication.
Coordinate schedules with instructors, partners, and participants.
Student Support Coordination
Support participant communication, reminders, and re-engagement.
Coordinate referrals and follow-ups tied to wraparound supports (transportation, stipends, career services, etc.).
Maintain participant-facing trackers and assist staff with service documentation.
Office Operations & Outreach Support
Provide administrative support to both offices (supplies, filing, vendor coordination, meeting support).
Assist outreach/recruitment efforts: event coordination, RSVP tracking, partner scheduling, and pipeline updates.
Serve as a welcoming first point of contact for participants and partners.
Required Qualifications
2+ years of coordination, administrative, or program operations experience.
Strong comfort with documentation-heavy environments and compliance tracking.
Excellent organizational and time-management skills; able to manage multiple priorities.
Proficiency with Google Workspace or MS Office; strong spreadsheet skills required.
Clear communication and strong customer service orientation.
Ability to travel between Baltimore, D.C., and Philadelphia sites as needed.
Preferred Qualifications
Experience with workforce or human-services programs (SNAP E&T, WIOA, TANF, YouthBuild, etc.).
Familiarity with audits/monitoring prep and funder reporting.
Experience working with opportunity youth or adult learners.
Work Schedule
Full-time, primarily weekday hours.
Occasional evenings/weekends for events or outreach.
