The Program Assistant is responsible for the general administrative duties of the agency. This position is stationed at the front desk of the main office and demonstrates the values and customer support expectations of the agency through incoming and outgoing correspondence while serving as a point of contact for clients, community partners, vendors, delivery carriers, and staff.

What we ask:




Maintains a welcoming and supportive atmosphere at the agency front desk and assists callers, guests, clients, community partners, and staff with information and resources. Maintains clear and efficient email and phone correspondence through the main agency lines, directing calls to staff and programs as appropriate. Manages the unlocking, opening, closing, and lock-up procedures of the main office. Manages and distributes incoming and outgoing mail and deliveries. Maintains a clean lobby and meeting room(s) for guests and staff. Monitors the ordering and inventory of agency supplies, including office and custodial supplies. Maintains agency equipment and coordinates service calls with vendors, including but not limited to the phone system, copiers, and postage machine. Serves as the liaison between staff and the agency's IT consultant, with support from the COO Manages agency asset assignments (phones, tablets, computers) within the HRIS system. Supports agency programs through assigned administrative tasks. Maintains Youth Development program files, information, inventory of equipment and resources, program forms, and program attendance data. Distributes and files agency contracts and agreements, including Youth Development CLC Contracts, providing ongoing support to the process as needed. Orders and organizes curriculum and snack supplies for Youth Development. Supports Behavioral Health through ongoing data entry and management of client files. Supports the Development Manager in the maintenance of the agency donor database and the mailing of donation confirmation letters. Supports HR in onboarding and orientation. Supports programs in the assignment and tracking of training and certifications. Participates as an active member in assigned agency committees. Performs other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES




Knowledge of computer hardware equipment and software applications relevant to work functions (Microsoft Office 365 - Word, Excel, PowerPoint). Strong time management, problem-solving, and multi-tasking skills. Excellent written and verbal communication skills. Ability to type a minimum of 65 WPM.

PHYSICAL REQUIREMENTS



Characterized as medium work requiring exertion of 20 to 50 pounds of force occasionally, and 10 to 25 pounds of force frequently, and a greater than negligible up to 10 pounds of force constantly to move objects.
