Job Title: Program Assistant Date: April 2023 Job Grade/Classification: Non-Exempt Job Summary: This position provides administrative support services for the company. The incumbent ensures efficient and effective operations for the business office and support to the Mission Control Team. This position is responsible for handling time-sensitive, proprietary and confidential material, effectively communicating and ensuring administrative duties are completed accurately, timely and delivered with a high degree of quality. Responsibilities, Duties & Accountabilities: The core, critical and essential work duties, functions and responsibilities of the position are as follows: \xc2\xb7 Responsible for the administrative operations and procedures for the warehouse, grounds, and maintenance services in the Mission Control Team; \xc2\xb7 Responsible for timely and professional responses to leadership, coworkers, clients, vendors and the general public; \xc2\xb7 Managing online resources, answers phone calls, walk-in visitors, emails, and other inquiries, retrieves voicemails, responding to callers and other inquirers, handling all requests and issues timely, accurately and professionally; \xc2\xb7 Help to receive, unload, count, and stock physical items in warehouse area; \xc2\xb7 Responsible for collecting, distributing, and addressing daily mail and office deliveries; \xc2\xb7 Maintain and monitor stock accuracy by ensuring that physical stock is consistent with the inventory management system that all stock movements are accurately recorded. Responsible to support company policies, Standard Operating Procedures (SOP\xe2\x80\x99s), and other related documents; files and ensures documents are properly and orderly maintained; \xc2\xb7 As requested, supports the management in duties related to bookkeeping, paying bills, etc.; responsible for assisting in the timely and accurate review, audit and processing of incoming billings in relationship to the correlating purchase orders or invoices; \xc2\xb7 Maintains professional working relationships with clients, vendors and suppliers; \xc2\xb7 Purchases office supplies and maintains the inventory control for supplies and purchases for the company; \xc2\xb7 Effectively and professionally supports management and coworkers to addresses complaints, tactfully and courteously handling and resolving concerns, ensuring quick resolution and satisfaction; \xc2\xb7 Takes a proactive, positive and sincere interest in our clients and those we serve, ensuring continuity of the company\xe2\x80\x99s positive relationship with the community; \xc2\xb7 Complies with all company policies, standards and protocols, Standard Operating Procedures (SOP\xe2\x80\x99s), Mission Control Team checklists and other required standards, rules, and practices; \xc2\xb7 Complies with all training (in-person, video, classes, etc.) and successfully participates in and completes/passes all required trainings; follows all Mission Control Team checklists and Standard Operating Procedures (SOP\xe2\x80\x99s); \xc2\xb7 Prepares timely, updated routine status reports for management; \xc2\xb7 Other projects and duties as assigned; \xc2\xb7 Regular and routine attendance and punctuality is required; \xc2\xb7 Availability and willingness to work occasional evenings, week-ends and holidays. Travel Requirements if Applicable: \xc2\xb7 As needed and assigned Position Requirements and Qualifications: \xc2\xb7 High school diploma or GED, supplemented by college courses in Office Administration or a related field of study \xc2\xb7 Minimum of two (2) years of experience working in Office Administration or related area of business \xc2\xb7 Minimum 2-3 years\xe2\x80\x99 work experience in general business, working in office setting performing administrative work in a fast-paced environment or operations \xc2\xb7 Demonstrated excellent computer skills, preferably working with Microsoft Office products, office systems and programs and the ability to successfully navigate and maintain current knowledge and skills working with technology \xc2\xb7 Demonstrated above-average verbal and written communication skills \xc2\xb7 Ability to maintain confidentiality and use discretion in working with proprietary and other sensitive information \xc2\xb7 Demonstrated ability to maintain organized and prioritized workloads and manage multiple tasks and projects at the one time, with the ability to work at a fast pace and under pressure \xc2\xb7 Demonstrated ability to successfully multi-task, using strong organizational skills, and time management with an attention to accuracy and detail; Demonstrated ability to maintain organized and prioritized workloads and manage multiple tasks and projects at the one time \xc2\xb7 Demonstrated ability maintaining professional and effective work relationships with other employees and staff \xc2\xb7 Ability to maintain a regular and routine attendance and be punctual for work \xc2\xb7 Ability to be available and willing to work evenings, week-ends and holidays Job Type: Full-time Pay: $15.00 - $19.00 per hour Benefits:
