General Summary:



Under the Direction of the GME Operations Manager, Program Director and Program Coordinator, the Program Assistant plays a pivotal role in the seamless coordination and administrative support of our GME program. The GME Program Assistant will also provide cross coverage/support to the Program Coordinator, ensuring operational continuity and excellence.


The Program Assistant is a key facilitator assisting the Residency Program in the effective administration of the residency program. This includes managing resident applications, coordinating evaluations, maintaining detailed databases, and distributing revised schedules. The role demands a high level of administrative acumen and the ability to manage complex tasks efficiently.





Responsibilities:



1. Administrative Coordination: Oversee the organization and management of the residency program calendar. Attend and organize committee meetings, draft detailed meeting minutes and manage project materials. Coordinate communication by drafting correspondence and organizing email responses.


2. Administrative Support: Provide comprehensive administrative support including file management and document distribution.


3. Program Paperwork Management: Assist in the completion of vital administrative paperwork for the residency program. Manage resident data sheets and spreadsheets. Ensure accurate attendance and didactic schedules are competed within Medhub.


4. Program Meetings and Events: Schedule and prepare meeting rooms, create agendas, take minutes, and manage AV setup. Plan events such as graduation with the help of the program coordinator.


5. Recruitment Support: Aid in organizing recruitment activities including scheduling interviews and second looks.


6. Execute additional duties as assigned, aligning with the scope and range of job responsibilities.


7. All other duties as assigned within the scope and range of job responsibilities.







Required Education, Credential(s) and Experience:



Education: High School Diploma or GED

Two (2) years of related work experience.





Preferred:

Four (4) years of related work experience. Experience in UME/GME setting preferred.
