The Program Assistant in this position plays a key role in keeping the Department of Mental Health running smoothly. This role supports a wide range of administrative and operational functions across the department. The right candidate must be able to pivot quickly, handle a variety of tasks, and switch gears based on the needs of the moment. Responsibilities may include assisting staff and visitors, organizing materials, supporting onboarding activities, maintaining supplies and records, coordinating access or scheduling needs, and helping with day-to-day operational workflow. The ideal candidate is organized, flexible, detail-oriented, and enjoys being the person who helps keep everything moving.
Duties
Provide general administrative and front-office support
Assist with onboarding and workspace preparation for new employees
Coordinate building access requests, badges, and related communications
Maintain supply inventory, prepare purchase requests, and track deliveries
Support reception and visitor assistance at Entrance #1 as needed
Prepare forms, routine communications, sign-in sheets, and other documents
Maintain tracking logs, spreadsheets, and internal databases
Assist with scheduling, meeting preparation, and departmental projects
Support Administrative Operations with daily workflow and priorities
Skills
Strong organizational and multitasking skills
Comfort working in fast-paced, variable environments
Proficiency with Microsoft Office (Word, Outlook, Excel)
Experience with reception, onboarding, or administrative support
Professional communication skills and a customer-service mindset
Minimum Qualifications
Graduation from high school or possession of a high school equivalency diploma AND:
EITHER: (A) Completion of two years (60 standard credit hours) from a regionally accredited or New York State registered college or business or secretarial school;
OR: (B) Two years of full-time general office work experience which involved public contact and keyboarding;
OR: (C) An equivalent combination of training and experience as defined by the limits of (A) and (B) above. SPECIAL REQUIREMENT: Candidates must indicate keyboarding ability; i.e., courses in keyboarding or keyboarding work experience. In some positions, candidate may be required to possess a New York State Driver License at time of appointment and to maintain position.
