Program Administrative Assistant
to support our Program and Clinical leadership teams.
Position Summary
The Program Administrative Assistant provides direct administrative support to the Program Director, Program Coordinator, and Clinical Director. This position plays a key role in coordinating program operations, maintaining schedules and records, organizing meetings, and assisting with internal communication across teams.
Job Responsibilities
Maintain calendar, daily agenda, and to-do lists for Program Director, Program Coordinator & Clinical Director as needed
Schedule meetings/appointments for employees, residents, interns, and those outside of our organization as needed for Program Director, Program Coordinator and Clinical Director
Complete check requests to be signed by Program Director, Program Coordinator and/or Clinical Director
General administrative assistant duties (i.e. typing, filing, copying, etc.) for Program Director, Program Coordinator and Clinical Director as needed
Attend weekly Program Team/Leadership Lunch/Lodge Manager/Clinical Team meetings, record minutes, maintain records for minutes, and distribute minutes to team members
Maintain all DHS files and correspondences in conjunction with all LLC files for LLC Lodges (Bear, Buffalo, Eagle, Falcon Wolf and Tulsa Boys' Home (i.e. Elk))
Directly assists with internal and external audits and reviews
Manage reservations and scheduling of the Training Center and maintain Training Center calendar
Update/create various forms and schedules, supervisor list, lodge phone roster and appointment schedules
Maintain various files (i.e. LLC Binders, Receipts, etc.)
Format agency forms to be uniform and convert to fillable PDFs as assigned. Upload documents on SharePoint for employees to access. Maintain an accurate master document electronic folder
Create, maintain and distribute Summer School Schedule on an annual basis
Create ribbons and agenda for the monthly Awards Ceremony
Be on a committee to organize and coordinate monthly Staff Appreciation by obtaining decorations, food, and beverages with the Program Director, Program Coordinator, Finance Director and Clinical Director
Maintain building access to Training Center.
This list is not an all-inclusive list of duties. Other responsibilities and duties may be assigned by the Program Director, Program Coordinator, Clinical Director, or the Executive Director.
Qualifications
Bachelor's Degree or equivalent relevant experience.
Valid Oklahoma driver's license and insurable by agency's automobile insurance carrier.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Excellent multitasking, organizational, and communication skills.
Demonstrated leadership abilities and a self-motivated approach to completing tasks independently.
Ability to remain calm and professional in crisis situations.
Awareness and sensitivity to the cultural and socio-economic characteristics of the client population.

Base Pay: From $20.00 per hour
