The Professional Staff Assistant 1 will report to the Division office leader and Staff Operations Manager and will act as an interface between the group(s) and other LANL organizations and external agencies. As the division office Professional Staff Assistant, you will need to be an excellent problem-solver, anticipate challenges and obstacles and tactfully resolve them while mentoring the group office administrator and providing high-level support to the group leaders, first line managers and group members. This is a fast-paced environment that includes a need for discretion, sensitivity, and professionalism at all times.




What You Need





Minimum Job Requirements:



Advanced experience with organizing and managing high-level visits and meetings for both internal staff and external visitors to the Laboratory and extensive experience with the Laboratory visitor program. Demonstrated excellence providing executive-level administrative assistance, office management. Knowledge and experience in one or more of the major security areas - information security - such as HPPA records, computer security, classified matter protection and control, or operations security (OPSEC). Demonstrated experience making sound decisions regarding appropriate disposition of correspondence and documents; receiving, transmitting, and safeguarding sensitive information; composing, preparing, and editing routine and non-routine correspondence and reports. Demonstrated knowledge in business operations, investigating alternatives, and recommending solutions on problems affecting business, operational, security, and/or programmatic oversight of the assigned specialized area functions. Must be able to:

Work successfully in both team and individual environment Demonstrate follow-through for competing priorities with tight deadlines Extract actions from meetings/meeting minutes Possess experience with software tools (ability to quickly learn) enabling efficient operations and documentation Experience working with metrics/continuous improvement The ability to stay organized while working multiple files Procedure and policy experience

Demonstrated knowledge to conceptualize and communicate major elements of security and safeguards to both technical and non-technical personnel - excellent customer service skills and interaction with all levels of internal and external personnel. Professional, clear communication skills, experience working with, communicating with external senior leadership (and their support personnel) as well as external stakeholders. Demonstrated experience working with limited oversight, taking appropriate initiative, and making decisions within defined boundaries to include making recommendations to office management based on policy interpretation. Experience working with Laboratory and DOE policies and procedures with a history of analyzing, interpreting, and applying those policies to a complex organization. Ability to work with varying levels of direction; self-starter with the ability to take abstract definitions to a clearer end-product


Education/Experience:

Position requires a Bachelor's Degree and 2 years related experience; or, an equivalent combination of education and experience directly related to the occupation. Undergraduate coursework may be expected at this level.




Desired Qualifications:



Working experience handling classified and/or sensitive matter; working experience with classified networks; experience as a classified matter custodian desirable. Proficiency in multiple Laboratory-wide business systems (e.g., Oracle, Time and Labor, Concur, and iProcurement) and computer software applications (e.g., Microsoft Word, Excel, Outlook, PowerPoint, SharePoint, and Visio)


Work Location:

The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.



Position commitment:

Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Directive 206.2

- Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.



Clearance: Q

(Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirementsfor access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.


Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.



New-Employment Drug Test:

The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.




Regular position:

Term status Laboratory employees applying for regular-status positions are converted to regular status.



Internal Applicants:

Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the required period of continuous service, they may only apply for Laboratory jobs with the documented approval of their Division Leader.
