Purpose
The Pre-Foreclosure Supervisor, positioned within the Shared Services Department, holds the responsibility managing and handling overflow of the pre-foreclosure process across the various states in which the firm operates. This role entails a comprehensive review of pre-foreclosure documents, onboarding documents, as well as the utilization of MSP, AIQ, and other internal systems. It is imperative to ensure the legal validity and compliance of foreclosure actions, while also identifying and addressing any potential impediments that may arise during the pre-foreclosure process. The primary function of this position is to guarantee that all impediments are resolved in a timely manner pre-foreclosure. Effectively resolving these impediments may necessitate direct communication with attorneys, clients, or internal staff, ensuring that any legal or procedural barriers are addressed promptly and proficiently. This role is critical in maintaining the integrity of the foreclosure process and ensuring that all necessary steps are taken to facilitate a smooth transition through the pre-foreclosure phase.
Specific Duties, Activities and Responsibilities
Reporting: Review and manage production reporting
Staffing: Training team members on all team responsibilities. Ensure staffing models are maintained.
Document Review: Thoroughly review and confirm the loan origination documents to ensure accuracy and compliance.
MSP (Mortgage Servicing System): Thoroughly review and confirm the data within the MSP system to ensure its accuracy and reliability.
AIQ (Document Repository): Review, download, and confirm the loan documents.
Quality Control Review: Review and complete a QC sheet per loan.
Case Management: Maintaining and organizing case files, tracking deadlines, and ensuring all necessary documentation is submitted in a timely manner. The Paralegal I will ensure all deadlines are met, maintain workloads and process flow within the team, and distribute workloads as necessary.
Communication and Collaboration: Responding to various emails, providing accurate and timely information, and maintaining client systems with current information regarding the onboarding process.
Compliance Monitoring: Ensuring all activities adhere to internal policies, state laws, and federal regulations.
Review of Financial Documents: Reviewing payoff statements, payoff histories, and previous monthly statements to ensure accuracy and completeness, addressing any discrepancies as needed.
Issue Escalation and Support: Escalating any issues as needed and assisting with the training of new paralegal staff.
Team management and oversight: Plan, assign, and review the work of a team of default staff. Monitor daily, weekly, and monthly production reports to ensure tasks are completed accurately and on time.
Training and development: Train staff on work procedures, departmental policy changes, and legal updates. Mentor employees to expand their knowledge and strengthen their performance.
Performance management: Conduct performance evaluations, provide consistent feedback and coaching, and participate in disciplinary actions when necessary.
Job Requirements
Bachelor's Degree Preferred or Paralegal Certificate
5+ years of default law experience
Previous default industry experience
Analytical document review capabilities
Able to respond appropriately to constructive feedback from management.
Self-starter with exceptional ability to identify and solve problems.
Ability to recognize changing environments and think analytically.
