We are currently seeking: Preconstruction Specialist



The Preconstruction Specialist supports the preconstruction team in managing project leads, preparing scopes, handling submittals and shop drawings, validating and organizing quotes, and assisting in the estimating process. This role ensures accurate and timely preparation of project documentation, contributes to process improvements, and helps maintain high standards of efficiency and quality in a construction or perimeter-security environment. Success in this role is measured by the smooth transition of projects from preconstruction to operations, adherence to timelines, and support for the team's productivity goals.





Responsibilities




Leads/Scope


Receive all lead invitations from any company contact and ensure all information on the Master Bid & Sales Log Leads tab is both current and accurate. Perform general scope of project and submit scope to Director of Preconstruction and VP. Contact lead generator for notification of accepted/declined invitation. Transfer project information to assigned Estimator for estimating process to begin. Attend weekly Level 10 Preconstruction meeting. Review project plans, specifications, and documents to support accurate quantity takeoffs and cost estimates. Collaborate with architects, engineers, project managers, and suppliers to clarify project scope and materials. Coordinate preconstruction meetings with internal teams and stakeholders to ensure alignment of project goals and expectations.

Submittals/Shop Drawings


Meet with the Preconstruction Manager/Estimator and the Preconstruction Quality Assurance Manager to develop the required submittal list. Establish timelines with the Preconstruction Manager/Estimator and the Preconstruction Quality Assurance Manager for assembling and submitting submittal packages. Coordinate the development of custom shop drawings--product details, layouts, and project-specific configurations--with the Design Build team and other responsible parties. Assemble and organize submittal packages in accordance with project requirements and established internal timelines. Prepare and organize submittal folders with all pertinent data in preparation for handoff to operations. Continuously update and maintain the submittal data template folder to ensure project-wide consistency and accuracy. Maintain clear communication with project teams during the handoff from preconstruction to construction phases, ensuring seamless transition and understanding of estimates.

Quotes - Validation & Organization


Ensure valid and up-to-date quotes are available for each major scope item per project. Aid in quote validation to ensure quotes align with project plans, specifications, and defined scope requirements; all required components, materials, and accessories are included and clearly identified; and clarifications, exclusions, and assumptions are fully documented. Coordinate with the Preconstruction Quality Assurance Manager for all review, compliance verification, or technical clarification as required. As opportunity allows, prepare structured quote comparisons to provide the Estimator and Director of Preconstruction with clear visibility into cost variances, scope gaps, and risk considerations. Maintain organized digital quote files for audit purposes, internal handoff, and project kickoff preparation. Develop and maintain a cost database, updating pricing information from vendors, subcontractors, and suppliers to ensure accurate and current estimates. Evaluate vendor and subcontractor bids and make recommendations on the most cost-effective options while maintaining quality and compliance standards. Support bid processes by providing detailed cost analysis and competitive pricing strategies.

Other


Make suggestions to senior management for any improvements to the estimating/sales process. Assist with Preconstruction team's productivity and motivate same to reach daily/weekly/monthly goals. Develop goals with assistance of Director of Preconstruction for leads/submittal process. Identify cost-saving opportunities, including recommending alternative materials or construction methods. Assist in the value engineering process by identifying alternative solutions that reduce costs without compromising quality or functionality. Ensure compliance with local, state, and federal regulations, incorporating necessary permits, labor laws, and construction codes into project preparation. Other related duties as assigned.

Qualifications




Required Skills/Abilities:

Strong analytical and problem-solving skills, with attention to detail. Excellent communication and interpersonal skills for coordinating with team members, vendors, and stakeholders. Proficiency in estimating software (e.g., Bluebeam, PlanSwift) and familiarity with construction takeoff tools. Ability to read and interpret architectural plans, specifications, and engineering drawings. Strong organizational and time management skills to handle multiple projects and meet deadlines. Ability to collaborate effectively with cross-functional teams. Proficiency in Microsoft Office Suite, particularly Excel for logs, comparisons, and data management. Knowledge of construction methods, materials, and regulatory requirements.

Education and Experience:

Bachelor's degree in Construction Management, Civil Engineering, Architecture, or a related field preferred. Minimum 3+ years of experience in preconstruction, estimating, or project planning within the construction industry. Experience with quote validation, submittal processes, and shop drawings required. Familiarity with perimeter-security or specialty construction projects is a plus.

Physical Requirements:
----------------------------

Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times. May require occasional travel to project sites for scope assessment or meetings.
