Practice Manager - Interventional Psychiatry (Ketamine & Spravato)
Locations: NYC - FiDi & Melville, NY
On-site: 5 days/week (split across both locations)
Role Overview
We are seeking a hands-on Practice Manager to oversee daily operations across two New York
locations for a growing interventional psychiatry practice specializing in IV Ketamine and Spravato
(esketamine) services. This role is ideal for a high-energy operator who thrives in fast-moving clinical
environments, takes ownership, and is comfortable being both strategic and in the weeds.
This is not a passive, desk-based role. The Practice Manager will be on site, managing provider
coverage, front-desk workflows, Spravato/Janssen coordination, and supporting growth through
referrals and partnerships. The right candidate hustles, anticipates problems before they escalate,
and ensures nothing falls through the cracks.

Key Responsibilities


Clinic & Provider Operations Own daily provider scheduling across both sites, ensuring coverage for: Ketamine infusions Spravato treatment days New patient intakes Follow-up and return visits Coordinate with MDs, NPs/PAs, RNs, and per-diem providers to prevent gaps in care Act as the first line of problem-solving for same-day scheduling issues, cancellations, or provider absences Maintain smooth patient flow and minimize downtime or unused chair capacity Front Desk & MA Workflow Management Directly manage Medical Assistants / front-desk staff, including: Check-in and intake workflows Scheduling and rescheduling patients Tracking cancellations, no-shows, and re-engagement Monitor daily schedules and utilization; proactively fill open slots Establish clear expectations, workflows, and accountability for MA performance Spravato /Pharma Coordination Serve as the operational owner for Spravato processes, including: Coordination with Johnson & Johnson and REMS requirements Insurance verification and prior authorizations (in partnership with billing/RCM) Patient onboarding and treatment readiness
Track Spravato patient funnel from referral approvaltreatment start Identify and remove friction points that delay care or impact conversion Growth, Outreach & Partnerships

Support clinic growth through:


Referral relationship management (psychiatrists, therapists, PCPs, hospital systems) Outreach initiatives and local partnerships Ensure operational readiness to scale volume (staffing, scheduling, intake capacity) Track and report operational metrics tied to growth (lead flow, conversion, utilization) General Practice Management Be physically present and visible to staff and providers; lead by example Act as the day-to-day owner of clinic performance, escalating issues as needed Help implement and improve SOPs, workflows, and systems as the practice scales

FiDi move to new facility executed seamlessly No missed or underutilized provider days due to scheduling errors Spravato patients move through insurance approval and onboarding without delays Front desk runs cleanly: high show rates, minimal confusion, tight scheduling Providers trust the operational setup and stay focused on patient care Clear, organized, and proactive communication across both locations

a. Can manage providers, MAs, and administrative staff with clarity and respect.
b. Communicates clearly upward and downward; no dropped balls
4. Hands-On Practice Management Experience
a. Prior experience managing multi-provider outpatient clinics, ideally in behavioral health,
psychiatry, infusion services, or specialty medicine
b. Comfortable being on the floor, not just managing from behind a screen
5. Spravato / Prior Authorization Fluency (or Close Adjacency)
a. Direct experience with Spravato workflows, REMS, and Janssen coordination or
b. Strong experience in insurance authorization-heavy specialties and ability to learn fast
