The Practice Manager (PM) is responsible for overseeing the day-to-day administrative and operational functions of a fast-paced and growing physical therapy practice. This role is crucial in ensuring the smooth operation and success of multiple clinics by managing staff, optimizing processes, and maintaining high standards of patient care. The PM will work closely with the Clinic Director and Director of Practice Management to drive operational efficiency, meet key performance indicators, and contribute to the clinic's overall growth. The ideal candidate will be a proactive, solution-oriented leader capable of managing multiple priorities while fostering a positive work environment and delivering exceptional patient experiences.

What You'll Do:
Clinic Management:
Oversee the operational success of 8-12 clinics with 50-200 employees.
Operational Leadership:
Work directly with the Clinic Director to ensure operational systems and best practices are in effect, implementing effective workplace procedures.
Performance Tracking:
Proactively identify and communicate areas of opportunity or potential operational inefficiencies to the Director of Practice Management.
KPIs and Metrics Management:
Responsible for administrative, operational, and clinical KPIs such as copay collection, conversion rates, POC compliance, weekly/monthly targets, Support Staff Ratios (SSR), Clinic FTE, and other operational metrics.
Team Leadership:
Hire, mentor, and manage all administrative and support staff. Oversee staffing schedules, time off requests, attendance, and timesheet entries. Complete operational system onboarding for clinical staff.
HR Compliance:
Work with the HR department to ensure compliance with company policies and employment law, administer corrective actions or performance reviews as needed, and conduct annual reviews for administrative staff.
Reporting & Auditing:
Complete administration audits and reports as requested by the Clinic Director and senior leadership.
Inventory and Cash Management:
Oversee ordering and maintaining clinic inventory needs, including copay logs and bank deposits.
EHR Expertise:
Be the clinic expert in the EHR system, dashboards, reporting, and budgeting processes.
Patient Experience:
Be a key driver of a successful patient experience by implementing operational strategies that prioritize service quality.
Staff Meetings & Collaboration:
Coordinate regular staff meetings and ensure clear communication across all levels.
Budget Management:
Meet the annual budget for staffing and financials while building and nurturing relationships with key stakeholders.
Clinic Maintenance:
Maintain cleanliness of the clinic and assist the Clinic Director in overseeing patient and employee health screenings as required by the Department of Health.

What You'll Need:
3-6 years of experience in an administrative/office management role within a healthcare or similar environment.
Bachelor's degree in business administration or a related field, or an equivalent combination of education and experience.
Strong leadership and employee management skills with proven ability to mentor and guide a team.
Proficient in Microsoft Office, particularly Word and Excel.
Excellent oral and written communication skills, and strong interpersonal skills.
Strong organizational and time management skills with the ability to prioritize and manage multiple tasks efficiently.
The Ability to handle conflict and stressful situations professionally, while remaining solution-oriented to resolve issues in a timely and effective manner.
Ability to identify and resolve problems proactively, ensuring a positive outcome for the team and clinic operations.
Experience working with performance metrics, budget management, and reporting.
