About the Role


Vanish - Advanced Vein Treatments is a fast-growing medical clinic seeking an experienced

Practice Manager

to lead the business operations across our growing network of vein clinics in the Milwaukee area. This role blends leadership, strategy, and hands-on management to ensure high-quality patient care, operational efficiency, and consistent standards across all locations. This position will require traveling as needed between the three office locations located in Oak Creek, Brookfield and Mequon. Additional travel may be required locally, within the state, or out of state depending on business demands.

Your Mission as Practice Manager



This position will manage, lead, and inspire our team. This position will help each person define their role and goals within the organization and provide direction to allow each team member to achieve those goals. This position will help build a cohesive team and assist them to achieve operational excellence - allowing us to provide exceptional healthcare and a pleasant work experience. ?This position will be able to manage the day-to-day tasks necessary to free up the owner's time to focus on the strategic direction of the clinic.

Practice Manager's duties and responsibilities include, but not limited to:



Manage the day-to-day operations of the practice. Establish structure and implement effective, efficient workplace systems and protocols. Ensure policies and best practices are up to industry standards and government regulations. Maintain consistent communication with accounting/bookkeeping/HR, with knowledge of finances, including budgets and payroll. Collaborating with medical personnel to develop and assess business strategies. Hire, train and monitor practice staff. Create employee schedules. Motivating staff and building office morale and positive, warm environment for patients. Promote a cooperative work environment. Show a desire to assist when needed to help the practice function as a unit. Partner with office and medical supply vendors to help manage costs of supplies. Ensure patient privacy is being maintained according to HIPAA laws and that the office meets OSHA, ADA and other standards. Ensure accuracy and proper storage of financial statements, patient records, business documents, and vendor invoices. Monitor physician licenses to ensure they are up-to-date. Supervise the use of EHR, financial, marketing, and other software to ensure that records, data, and information are consistent and correct. Monitor and report on payable and receivable accounts. Monitor patient scheduling, referrals and satisfaction. Interact with patients and address their concerns or complaints. Coordinate regular staff meetings, staff development & training, and performance reviews. Collaborate with Physicians to develop business strategies, sales objectives, and patient services. Work as a team to ensure the practice runs effectively and meets objectives. Assist in development, decision making, and execution of marketing strategy and main point of contact with outside marketing and public relations vendors. Ensuring quality patient care. Tracking and reporting metrics. Develop and/or review the office handbook, job descriptions, and other communications. Respond to staff issues and provide assistance with resolution, coordinate with HR as needed. Perform other tasks and duties as assigned.

Required experience and qualifications:



Bachelor's Degree or equivalent experience required. Demonstrated proficiency with medical documentation in EMR and Microsoft Office products required. Excellent interpersonal skills and ability to effectively communicate with all levels of the organization required. Strong verbal and written communication skills required. Excellent analytical and problem-solving skills required. Strong leadership, motivation, training and goal-setting skills required. Organization and time management skills required. Understanding of health and safety standards in the medical industry required. Exceptional teamwork skills required. Outstanding customer service focus required. Attentive to the clinic environment and patients required. Ability to maintain a professional appearance and demeanor required. Ability to travel via automobile between all locations on a regular basis required. Valid driver's license in active good standing, required.

Preferred experience:



Minimum of 5 years' proven management experience is preferred, preferably in the healthcare industry. Computer literacy and knowledge of relevant health care and administrative software are preferred. Financial and accounting skills preferred. In-depth knowledge of health care finances best practices and standards preferred. Fast learner with general understanding of medical terminology and ethics of confidentiality/ HIPAA laws preferred.

Offered salary and other compensation:



Based on your experience and performance record, we offer a base yearly salary of $100,000 plus up to $20,000 in bonuses.
