The Practice Manager is responsible for overseeing the daily operations of multiple chiropractic office locations that specialize in personal injury care. This role ensures smooth workflow, operational efficiency, and compliance while maintaining strong relationships with patients, attorneys, and referral sources. The ideal candidate is a proactive leader who thrives in a fast-paced, multi-location environment and is highly skilled in managing staff, optimizing processes, and ensuring financial accuracy across all locations.
Duties
Supervise and manage all employees throughout 8 different locations including. Support staff with day-to-day operations across all locations.
Assist in creating and implementing new policies and procedures and ensure adherence to existing policies and procedures.
Fosters collaboration and cultivates a strong dyad partnership with the CCD (Chiropractic Clinical Director) to ensure optimal clinical operations, provider support, and to minimize ownership's involvement to only what's necessary for escalated issues or at ownership's discretion
Evaluate operational process and implement new work flows as needed.
Strategize with the owner to improve efficiency and optimize operational processes.
Analyze financial reports to identify ways to decrease expenses, including monitoring expenses, inventory, and staffing.
Continuous research and understanding of quality improvement and risk strategies to decrease spending and increase organizational/provider performance.
Provide leadership, coaching, and performance feedback to front desk, billing, and clinical support teams.
Assist in recruiting and onboarding new staff.
Manage schedules across all locations to ensure staffing levels align with daily operational needs.
Oversee monitoring, audits, and analysis of payments from attorneys; track outstanding invoices and ensure accurate reconciliation
Collaborate and help to maintain strong relationships with external referral sources, including attorneys, medical practices, and case managers
Prepare regular reports on performance metrics, collections, and cash flow for ownership review.
Organization and prioritization of management tasks and creating efficiencies within the operational and clinical settings.
Collaborates with internal and external customers, stakeholders, and vendors.
Maintain confidentiality and uphold ethical and professional standards.
Other duties as assigned by ownership.
Qualifications
At least 3 years of proven experience in medical office management or healthcare administration within a clinical setting.
Proven track record managing operations, finance, and staff across multiple practice locations.
Proficiency with EMR/EHR systems, Excel and Microsoft Word.
Knowledge of HIPAA regulations, medical terminology, medical records management.
Experience with clinic operations including scheduling systems
Familiarity with office management tools and practices relevant to healthcare environments.
Excellent organizational skills with the ability to multitask effectively in fast-paced settings.
Strong communication skills to liaise effectively with clinical staff, vendors, patients, and regulatory agencies.
Experience managing Personal Injury (PI) cases, including coordinating with legal teams, insurance companies, and patient care is a plus.
