We're seeking a detail-oriented and personable Phone Intake & Call Tracking Coordinator to manage our 800-number call flow, document call data, and support our intake and admissions team. This position plays a critical role in ensuring every caller receives prompt, professional attention and that all inquiries are accurately tracked and followed up on.
Responsibilities
Answer incoming calls to the company's 800 number promptly and professionally
Gather caller information and document all calls in our intake tracking system
Maintain an organized log of all calls, including referral sources, outcomes, and follow-ups
Collaborate closely with the lead intake coordinator to route calls and relay key information
Assist with verifying insurance benefits or scheduling call-backs when needed
Identify urgent or high-priority calls and escalate appropriately
Track call metrics (volume, response times, outcomes) and provide weekly summaries to leadership
Maintain confidentiality and compliance with HIPAA regulations
Qualifications
Excellent phone and communication skills
Strong attention to detail and accuracy in data entry
Prior experience in healthcare, behavioral health, or customer service preferred
Familiarity with electronic records or CRM systems a plus
Ability to multitask in a fast-paced, team-oriented environment
Professional, empathetic demeanor when speaking with individuals and families
Schedule
Full-time, Monday through Friday
Occasional weekend or evening coverage may be required

Pay: $45,000.00 - $50,000.00 per year
