Job Summary

We are seeking a proactive and highly organized

Personal Business Admin

to act as the right hand to ownership. This role goes beyond traditional clerical support -- you'll be responsible for removing day-to-day tasks off the owner's plate, creating systems that save time, and ensuring priorities are executed smoothly. The ideal candidate thrives on organization, communication, and problem-solving, and enjoys creating order that allows leaders to focus on growth.

Key Responsibilities

Inbox & Calendar Management

: Manage scheduling, prioritize communications, book appointments, and handle follow-ups so leadership stays focused.

System Creation & Maintenance

: Build and improve processes for recurring tasks (checklists, SOPs, reminders, templates) to prevent things from falling through the cracks.

Client & Vendor Coordination

: Communicate with clients, partners, and vendors on behalf of leadership, ensuring smooth and professional interactions.

Administrative Support

: Organize files, manage data entry, oversee recurring reports, and ensure information is accurate and up to date.

Light Bookkeeping

: Track expenses, reconcile records, and coordinate with accounting using QuickBooks (experience preferred).

Project Assistance

: Support company initiatives by coordinating meetings, tracking progress, and ensuring deadlines are met.

Protect Owner's Time

: Proactively identify and take ownership of tasks that pull leadership into low-value work.
Requirements

Previous experience as an Executive Assistant, Personal Assistant, or Administrative Coordinator. Tech-savvy with strong skills in

Google Workspace, Microsoft Office, and project management tools

(e.g., Asana, Trello, ClickUp). Familiarity with

QuickBooks

and general bookkeeping is a plus. Excellent organizational and time-management skills; thrives when managing multiple priorities. Professional communication skills, both written and verbal.

Resourceful and solution-oriented mindset

-- looks for ways to solve problems without needing constant direction. Ability to work independently, anticipate needs, and maintain confidentiality. Bilingual candidates are a strong plus.
Job Types: Full-time, Part-time

Pay: $22.00 - $26.00 per hour

Expected hours: 30 per week

Work Location: Hybrid remote in Roseville, CA 95661
