Responsibilities
Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with precision.
Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
Handle correspondence via phone, email, and other communication channels with professionalism and courtesy, demonstrating excellent phone etiquette.
Prepare and proofread documents, reports, presentations, and correspondence to ensure accuracy and clarity.
Organize files, maintain records, and oversee filing systems to ensure easy retrieval of information.
Assist with bookkeeping tasks using QuickBooks and perform basic data entry to support financial record keeping.
Support event planning efforts for meetings, conferences, or company functions from start to finish.
Conduct project coordination by tracking deadlines, following up on action items, and liaising with team members to meet objectives.
Perform clerical duties such as photocopying, scanning, transcription, and office supply management.
Utilize office management skills to oversee front desk responsibilities including greeting visitors and managing multi-line phone systems.
Use office software such as Microsoft Office Suite (Word, Excel) to create reports and organize information efficiently.
Support personal errands or administrative needs for executives as required to foster a productive work environment.
Experience
Proven experience as a Personal Assistant or in an executive administrative support role with a strong background in office management.
Demonstrated expertise in calendar management using tools like Microsoft Outlook Calendar or Google Workspace.
Prior experience with bookkeeping software such as QuickBooks or similar platforms is preferred.
Strong organizational skills with the ability to multitask effectively in fast-paced environments.
Excellent typing speed combined with transcription and proofreading capabilities for professional document preparation.
Familiarity with project coordination techniques to ensure timely completion of tasks.
Exceptional customer service skills along with professional phone etiquette for handling inquiries confidently.
Proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace applications, data entry systems, and multi-line phone systems.
