Responsibilities
Manage complex calendars, schedule appointments, meetings, and events using tools such as Microsoft Outlook Calendar and Google Workspace.
Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing itineraries.
Handle correspondence via email, phone calls, and written communication with professionalism and courtesy, maintaining excellent phone etiquette.
Prepare and proofread documents, reports, presentations, and correspondence to ensure accuracy and clarity.
Organize files, maintain records, and oversee filing systems both digitally and physically for easy retrieval.
Assist with event planning by coordinating logistics for meetings, conferences, or company events from start to finish.
Support bookkeeping activities using QuickBooks or similar accounting software; handle invoicing, expense tracking, and basic data entry tasks.
Oversee office management duties such as supply inventory, front desk reception duties, and managing multi-line phone systems.
Conduct transcription of audio or written notes as needed for meetings or reports.
Support project coordination efforts by tracking deadlines, preparing agendas, and following up on action items.
Utilize office software including Microsoft Office Suite (Word, Excel, PowerPoint) to produce professional documents and presentations.
Manage personal errands or tasks for executives as required to facilitate their productivity.
Experience
Proven experience as a Personal Assistant or Executive Administrative Support role within a professional office environment.
Demonstrated proficiency in office management tasks including filing systems, data entry, and clerical support.
Strong organizational skills with the ability to prioritize tasks efficiently in a busy setting.
Excellent typing skills with high accuracy; familiarity with transcription is advantageous.
Experience with bookkeeping software such as QuickBooks; basic understanding of financial recordkeeping is preferred.
Competence in handling multi-line phone systems and providing exceptional customer service over the phone and in person.
Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Docs, Sheets), and familiarity with digital tools like DocuSign for document signing workflows.
Ability to proofread documents meticulously ensuring error-free communication.
Strong project coordination skills with the ability to manage multiple priorities simultaneously while maintaining attention to detail.
