Position Summary





The

People Operations & Talent Programs Coordinator

is a hands-on, high-ownership role that supports Truly Free's People Operations and key HR programs. This position partners closely with the Chief People Officer and HR leadership to keep recruiting processes moving, onboarding experiences excellent, HR data accurate for executive dashboards, and the performance management program executed with consistency and follow-through.



This role is ideal for someone who wants meaningful responsibility, thrives in a fast-paced environment, enjoys building structure, and is comfortable receiving candid feedback while being supported to grow quickly.

Key Responsibilities




Recruiting Support (Talent Acquisition)





Coordinate recruiting workflows across open roles, including job postings, interview scheduling, candidate communication, and interview logistics. Maintain candidate tracking and ensure accurate status updates in the ATS and related systems. Support hiring managers with structured interview coordination and timely next steps. Assist with offer preparation and pre-hire administrative steps as assigned.


Onboarding and New Hire Experience





Own and execute onboarding coordination from offer acceptance through day-one readiness. Ensure onboarding tasks are completed accurately and on time (I-9 coordination, system access requests, onboarding schedules, first-week checklists, and required documentation routing). Partner with managers to ensure new hires are prepared, welcomed, and supported through early milestones.


People Data and Dashboard Accuracy (Looker)




Maintain HR and people-related datasets feeding HR executive dashboard in Looker. Perform routine audits for completeness and accuracy (headcount, status changes, job information, onboarding progress, performance cycle milestones). Coordinate corrections with HR teammates and cross-functional partners (Payroll, IT, Finance) as needed. Build simple documentation and repeatable routines so reporting stays current.


Performance Management Program Execution





Run the operational cadence of the performance management program. Coordinate timelines, communications, forms, and completion tracking for reviews and check-ins. Ensure managers have what they need to execute reviews on time and with quality. Track completion metrics and escalate risks early so deadlines are met.


HR Ticketing and Admin Support





Monitor the HR ticket queue and respond to or route requests based on established processes. Maintain accurate documentation, notes, and status updates so nothing is dropped. Support additional HR priorities and special projects as assigned.


Administrative Support to Chief People Officer





Provide direct administrative support to the Chief People Officer action-item tracking, and light communications drafting as requested. Maintain organized files and documentation to support HR operational continuity and leadership visibility.


Qualifications




Required





1 to 3 years of experience in an HR coordination, recruiting coordination, operations, or administrative role with high attention to detail. Strong organizational skills and the ability to manage multiple priorities without dropping deadlines. High discretion and professionalism when handling confidential employee data. Demonstrated ability to learn systems quickly and follow processes with consistency.


Preferred





Experience supporting recruiting coordination and onboarding in a high-growth environment. Familiarity with HRIS/ATS systems and basic reporting concepts. Exposure to performance management cycles (review coordination, tracking, communications). Experience maintaining dashboards or data integrity in tools such as Looker, BI tools, or reporting spreadsheets.

Onboarding readiness:

day-one preparedness rate (accounts, checklists, tasks completed) with minimal rework.

Data accuracy:

recurring Looker inputs and audits maintained with low error rate and timely corrections.

Performance program execution:

on-time completion rate of review milestones and manager participation targets.

Ticket quality and throughput:

timely resolution or routing, accurate documentation, and reduced repeat questions through improved clarity.

CPO admin effectiveness:

action items tracked to completion, meetings prepared with agendas/notes, and follow-ups executed on time.


Work Environment





Remote and computer-based work with frequent use of HR systems and communication tools. Fast-paced environment requiring prioritization, confidentiality, and responsiveness. Collaboration across HR, Finance, IT, and business leaders.


Physical Requirements





Prolonged periods of sitting and working at a computer. Ability to communicate clearly via phone, video, and written channels. * Occasional lifting up to 15 lbs (laptop, supplies) as needed.
