POSITION SUMMARY

: The Patient Services Representative (PSR) plays a pivotal role as the patient's primary point-of-contact, responsible for delivering exceptional customer service to patients and visitors. The core duties involve managing reception, scheduling appointments, accurately inputting data into billing systems, and ensuring compliance with administrative requirements. This role requires efficient handling of patient financial arrangements, addressing inquiries, and maintaining meticulous records. Additionally, the PSR assists in financial counseling by assisting with sliding fee scale applications, verifying insurance eligibility, and updating patient records.

Essential Duties

:

Front Desk

1. Greets patients and visitors at reception area and offers appropriate assistance.

2. Checks patients in by verifying patient demographics and registration forms are correct.

3. Confirms patient's financial arrangements and ensures required documentation is in patient's chart.

4. Interprets insurance verification and updates insurance, as needed.

5. Ensures sliding fee discount information is accurately calculated and entered into the system.

6. Ensures that all program forms are completed.

7. Collects copayments, prepayments, and balance payments; enters information into billing software.

8. Is sensitive to patient needs and able to deescalate challenging patient situations.

9. Answers incoming telephone calls by third ring, directs caller appropriately, and responds to all messages in a timely manner.

10. Schedules appointments or assists patients with rescheduling appointments if they arrive late or are unable to be seen. Schedules financial counseling (FC) appointment 30 minutes before medical appointments, if necessary.

11. Contacts patients to confirm appointments and documents results according to current practices. Follows up on no-show appointments by creating a telephone encounter to follow up with patients.

12. Creates action notes for patients who don't schedule at checkout and follows up on action notes on a daily basis.

13. Scans patient registration and other forms into eClinicalWorks (eCW) in a timely manner.

14. Retrieves cash box at opening, verifies correct starting amount, and closes cash drawer at end of day.

Financial Counseling

1. Interviews new patients and families; requests and obtains necessary and appropriate information.

2. Verifies patient demographic information and patient insurance eligibility; updates electronic medical record (EMR) system, as needed.

3. Completes presumptive eligibility for patients eligible to apply. Enters presumptive eligibility sliding fee scale into EMR.

4. Confirms patient's financial arrangements and correctly interprets insurance verification.

Education and Qualification Requirements

:

High school diploma or equivalent Six (6) months' front office medical training, preferred One (1) year of front office medical experience, preferred Previous experience with EMR systems, e.g., eCW, preferred Bilingual - English/Spanish, preferred
