Description of Responsibilities:



The Patient Service Specialist is the first person a patient meets and is responsible for greeting patients, collecting demographic information, instructing and directing patients at the central check-in station, and providing a warm and inviting atmosphere for all who enter the practice. This position generally works normal business hours Monday - Thursday 8:00AM - 4:30PM and Friday 7:30AM - 4PM. Flexibility in schedule is needed from time to time to meet business goals and provide exceptional patient service.


Responsibilities include and are not limited to:

Greet patients, visitors, and vendors upon arrival, ensuring a welcoming and friendly environment Efficiently check-in patients using office procedures, confirm all required information is recorded accurately + Verify and update patient information in the Practice Management system
+ Verify and update insurance information in the Practice Management system
+ Check for required PCP referrals, confirm their validity
+ Ensure POA and Minor Proxy Authorization documentation is on file, as necessary
Collect copays and outstanding balances due at the time of service Obtain signatures for consents and authorizations Address questions, concerns and feedback promptly and professionally Educate patients about office hours, policies and services offered Direct patients and visitors to appropriate locations or staff members for further assistance Perform clerical tasks such as data entry, answering the phone, making copies and collecting necessary paperwork Operating computer, photocopier, and fax machine Using knowledge of insurance and referral requirements to accomplish daily tasks Using knowledge of POAs and Guardianship to perform duties Using proper grammar, spelling, and punctuation to type patient information and messages for physicians and staff Other duties as assigned by supervisor

Experience Requirements:




Minimum of one year of administrative experience. Clear and concise verbal and written communication skills are required. Good judgment, initiative, and problem-solving skills are necessary. Attention to detail and accuracy in a fast-paced, multi-tasking environment is essential.

Educational Requirements:



High school diploma or equivalent is required.

Typical Working Conditions:




Work is performed in an office environment. Involves frequent patient contact both in person and over the phone along with contact with physicians and staff. Work may be frequently fast paced, and contact may be dealing with a variety of patient personalities. Possess ability to work in a team environment as well as ability to accept constructive criticism from supervisors and physicians. Occasional overtime or evening work may be requested.

Typical Physical Demands:




Requires normal range of vision and hearing for telephone and patient contact when scheduling surgery. Work may require sitting and viewing computer terminal for extended periods of time. Requires manual dexterity to operate a keyboard, telephone, copier, and other office equipment. It is necessary to be able to handle multiple phone calls. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

Psychological Demands (in a usual workday):




Must possess excellent organizational and time management skills in order to handle multiple and sometimes conflicting tasks. Must be able to work with minimal supervision regarding time management and can consistently make sound, ethical decisions in emergency situations. Demonstrated ability to make accurate assessments while establishing and maintaining effective working relationships within the organization.
