Education Requirements
High school diploma or equivalent
Associate degree or higher in business or office admin related focus is preferred
BLS certification within 3 months of being hired (employer will pay for training & exams)
Infection control certification within 3 months of being hired (employer will pay for training & exams)

$16.83 - $21.62 per hour depending on experience and proficiency
Work Hours
Typically M-F 12:00pm - 5:00pm
The ideal candidate will have flexibility to work early &/or extended hours based on business and/or patient needs.
Primary Responsibilities
Facilitate a smooth transition for new patients into the practice
Coordination of existing patients' ongoing dental care
Communication with patients during treatment
Communication with other health care offices
Billing and collections
Front office & reception area appearance and cleanliness
Follow HIPAA regulations
SPECIFIC DUTIES
Patient Management
Answer & respond to telephone calls with professionalism
First person to answer the phone, take messages, and answer inquiries
Greet & welcome patients and visitors to the practice
Greet new patients and make them feel welcome in the office
Accurately scan documents into the patient's electronic record
Obtain records from prior dental offices in accordance with HIPAA policies
Ensure accuracy of patient information in practice management software
Record & keep office statistics
Make post operative patient calls
Support the dentist's diagnosis and treatment decisions
Perform clinical and laboratory procedures as permitted by state law and as directed by the dentist
Give patient instruction and demonstrate when necessary
Resolve patient concerns/complaints in coordination with Dr. Hicks
Ensure that the patient readiness checklist is completed before patient is taken to the treatment room
Employ efforts to make the patient feel like they were well care for by Prairie Mountain Dental
Perform expanded functions and other tasks as assigned by the dentist
Record & keep patient management statistics and prepare reports
Schedule Management
Schedule patients to meet revenue goals while allowing for a manageable workflow
Schedule/pre-book patients for next appt
Follow scheduling policies, protocols, and flowcharts, and participate in modifying them for efficacy
Schedule existing and archived patients who call in for an appointment
Follow scheduling policies, protocols, and flowcharts, and participate in modifying them for efficacy
Follow protocol for handling no shows and short notice cancellations & and participate in modifying them for efficacy
Update patient appointment status on the schedule to communicate with the team if patient is checked in and ready to be seen
Follow up on all broken appointments and fill any cancelled appointments
Follow up on unscheduled treatment or hygiene recall
Manage schedule templates
Create, update, & organize
Record & keep schedule statistics and prepare reports
Insurance/Benefit Management
Verify benefits for scheduling patients
Have current benefit & eligibility information accurately entered into the computer
When necessary, help patients understand their dental insurance/benefits
When necessary, help the team coordinate treatment completion with dental insurance/benefits in mind
When necessary, submit treatment plans for predetermination of benefits
Accurately create and send insurance/benefit claims
Organize, create, and send supporting material for claim forms
Ensure EOB (explanation of benefits) forms are accurately placed in the practice management software
Assist in the resolution of problems with third-party payers
Follow-up on insurance/benefit claims
Enter insurance/benefit payments
Ensure that insurance/benefit claims are resolved within 180 days from date of service
Record & keep insurance/benefit statistics and prepare reports
Correspondence
Send copy of patient record(s) for consultation with other health care providers; arrange appointments and manage communication with other health care offices
Prepare and send out new patient & referral thank you letters
Never talk to sales people. Politely get off the phone with them ASAP. Tell them you are not authorized to make any decisions on their products or services. Write down their information and tell them you will relay it to Dr. Hicks
Be a positive ambassador of, and advocate for, Prairie Mountain Dental and Dr. Hicks within our community
Record & keep correspondence statistics and prepare reports
Advertising, Marketing, and Public Relations Management
Help implement advertising and marketing strategies
Advertising = new patient attraction
External advertising (i.e. direct mail, newspaper, phonebook, radio, media, social media, etc.)
Internal advertising (i.e. office displays, social media, patient referrals, employee referrals, etc.)
Marketing = retention of existing patients and generating revenue from existing patients by marketing our services to them
Finding out what services patients want and how they want them delivered (surveys and other methods)
Discovering ways to make our services more attractive to patients so that they will ask for them
Record and keep advertising & marketing statistics and prepare reports
Help coordinate practice building and public relations efforts with patients, other dentists, and the community
Monitor patient relations with patient satisfaction surveys
Financial Management
Enter charges into the patient ledger accurately
Receive payments, enter them into the ledger accurately, and provide patients with receipt(s) and/or statement(s)
Help patients secure financing through Care Credit by guiding them through the application process
Inform patients of their payment options and help them solve financial barriers to accepting treatment
Make definitive financial arrangements with each patient in accordance with office financial policies
Ensure responsible party is aware of their expected cost prior to DOS (date of service)
Prepare end of day reports and reconcile payment information
Prepare billing statements promptly and mail billing billing statements according to protocol
Maintain petty cash
Record & keep financial statistics and prepare reports
Reception Area Management
Perform maintenance duties related to machines and equipment used for clerical purposes
Maintain a professional reception area and front office
Organize patient education materials
Keep the facility neat, clean, dusted, etc
Review supplies needed for business area and reorder supplies when necessary and within budget
Office Participation
Help in other areas of the office when necessary
When necessary, help with treatment room clean up and set up
When necessary, help with sterilization of instruments
Complete daily, weekly, monthly, quarterly, and annual tasks and maintenance checklists
Prepare and present HIPAA trainings upon request by Dr. Hicks
Perform other tasks as assigned by Dr. Hicks
