The Clinic Operations Manager oversees the day-to-day operations of the assigned physician practices owned and operated by Magruder Hospital. This includes oversight of the practice staff, schedule management, patient complaints or issues, implementing and monitoring company workflows, policies & procedures, and flexibility to adjust to the daily needs of the practice(s) managed. The Clinic Operations Manager is the go-to person for the practice(s) and must maintain professional communication and build effective relationships with all of the practice's physicians, nurse practitioners, employees, and internal and external resources.





To ensure that patients are registered in a timely manner and that demographics and insurance have been verified and updated. The registrar will also check medical necessity when needed, make sure the consent is signed, the privacy policy is given and appropriate information is scanned into the system.



Essential Duties & Responsibilities:






Accurately collects demographic and medical information in detail from patients and/or medical professionals to ensure complete and hassle free care of our patients.Checks patients in the Cerner system and upon discharge checks the patients out in a timely manner.

Maintains a registration accuracy rate acceptable to department goal.

Completes the Medicare questionnaires, Medicare important message and distributes proper letters and literature to Obtains proper authorization and consent forms to treat patients. Including but not limited to the First report of injury for BWC and accident information for Medicare patients. patients and other hospital personnel.

Accurately obtain patients insurance information for billing purposes and verifies eligibility.

Effectively uses AIDET while registering patients verifying the patients understanding of the next step of their visit and where they will be going ensuring timeliness and creating a smooth flow.

Informs Director of departmental or patient issues so they can be resolved in a timely, productive manner



Professionally acts as a liaison between patients, hospital personnel, and physicians while focusing on customer service and a professional work environment.

Attends monthly Registration meetings. Attends Oncology or Surgery department meetings as needed to stay informed while supporting that department for registration.

Verifies and scans appropriate documentation for patient visits.

Monitors the entrance/lobby (emergency room, Outpatient Registration, Clinic and/or Surgery) entrance and immediately acknowledges anyone entering and provides assistance for their needs.

Accurately verifies physician orders for outpatient treatments making sure each order is dated within one year of expiration, has a diagnosis, the patient's name and date of birth and is signed.

Effectively and consistently uses computer software to verify medical necessity for outpatient testing.

Effectively uses telephone and written skills with patients, legal guardians, and other medical professionals.

Consistently refers self-pay/uninsured patients to Financial Counseling and provides the HCAP application.

Ensures pre-registrations are completed in a timely manner to meet preset goals. Consistently verifies patients have received the hospital's Notice of Privacy Practices. Notifies emergency department nurse of patient that presents with VA benefits, No ID, Paramount Insurance and BWC drug screen.

Notifies the house supervisor if a patient has not been triaged in a timely manner. Verifies the patient understanding while ensuring timeliness to the appropriate hospital department, creating a smooth flow.

Monitors patient volumes in the outpatient lobby and consistently calls for assistance if there are three or more patients signed in or waiting.

Performs a variety of clerical and customer service supportive tasks. May include but not limited to maintenance logs or work area or equipment cleaning.



Complies with federal, state, and local legal requirements by studying existing and new legislation; anticipating legislation; enforcing adherence to requirements; advising management on needed actions; ensures compliance with Joint Commission and other external and internal regulatory agencies.

Maintains the integrity of confidential patient information in accordance with HIPAA and hospital policy, including accessing, using and disclosing patient information relevant to the individual employee's job duties. Also maintains confidentiality of other customer and hospital business affairs.

Adheres to the standards of Magruder Hospital's corporate compliance policies and seeks guidance and training when necessary to resolve questions about the policies. Reports violations in accordance with corporate compliance and organizational standards.



Attendance is an essential function of this position. Reports to work on time and as scheduled; Shows respect for co-workers by following established break times; Keeps personal conversations and telephone calls to a minimum.



Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.

Required:




High School Diploma or GED equivalent is required

Must be able to see, hear, respond and communicate efficiently to the customers, patients and calls received to accurately establish the correct information for registering patients. Must be highly motivated and friendly with a positive outlook. Must have the ability to multitask, organizational skills, and attention to detail. Flexibility in dealing with changes on demand and with accuracy. Ability to deal with interruptions with poise, tact, and professionalism, while maintaining a positive image for the hospital. Must have the ability to deal with numerous types of emergency and stressful situations when needed. Must have the ability to enter information into a computer using different types of computer software, complete questionnaires, authorizations and distribute registration information to other departments. Must have the manual dexterity to use the computer to determine the proper patient account. Accurate in all aspects of daily work product. Must be able to work a variety of shifts including weekends and holidays.



Preferred:




Knowledge of basic medical and human anatomy terminology. Knowledge of multiple payer sources including auto insurance, worker's compensation, Medicare, Medicaid and other health insurances. A thorough knowledge of hospital operations. Basic knowledge of computer keyboard with typing accuracy. Proficient in the use of computers and peripheral accessories, photocopy and faxing equipment, and various office machines as needed. Medical terminology course Typing - knowledge of keyboard
