Duties
Greet patients and visitors warmly, providing excellent customer service while maintaining professionalism and courtesy.
Manage multi-line phone systems with clear, friendly phone etiquette; answer inquiries promptly and direct calls appropriately.
Schedule patient appointments accurately using electronic health record (EHR) systems such as SimplePractice and Ensora.
Verify insurance coverage and benefits, including insurance verification for Medicare and other providers.
Collect patient information, update medical records, and ensure proper documentation review in compliance with HIPAA regulations.
Assist with medical intake processes, including gathering necessary documentation and explaining clinic procedures.
Handle billing tasks such as medical collection follow-ups, coding (CPT, ICD-9/10), and processing payments using medical billing software like Availity and insurance portals.
Maintain organized filing systems for medical records and ensure confidentiality of sensitive health information in accordance with HIPAA standards.
Support clinic operations by managing front desk duties such as patient check-in/out, appointment reminders, and data entry with high accuracy using Microsoft Office tools.
Collaborate with clinical staff to facilitate smooth patient flow and coordinate care plans as needed.
Perform general clerical tasks including faxing, photocopying, data entry, and managing office supplies to keep the reception area efficient.
Requirements
Proven experience as a medical receptionist or in a healthcare administrative support role within a clinic or hospital setting.
Familiarity with medical terminology, ICD-9/10 coding, CPT coding, and medical billing processes.
Experience with insurance verification procedures including Medicare and private insurers.
Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel) and office management software.
Ability to handle multiple tasks efficiently while maintaining attention to detail in a fast-paced environment.
Exceptional customer service skills combined with professional phone etiquette on multi-line phone systems.
Knowledge of HIPAA regulations to ensure patient confidentiality at all times.
Bilingual abilities are highly preferred to serve diverse patient populations effectively.
Strong organizational skills with experience managing medical records and documentation review processes.
