The part time
Assistant Events Coordinator
position is responsible for being a liaison between clients, the public, and operational departments prior to and during events. The Assistant Events Coordinator is responsible for ensuring that facilities, equipment, physical setup, and personnel provided meet the requirements of the event and the client's contractual agreements. The Assistant Event Coordinator is also responsible for ensuring that move in, duration, and move out of events are executed in accordance with pre-arranged details and building policy. Assignments include the coordination and indirect supervision of support personnel and services. This position is
part-time, in-person only
- must be willing to work afternoons, nights, weekends, and holidays. Work hours are driven by the events schedule and coverage needed to support events.

Duties and Responsibilities

The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by employees in this job. Employees may be requested to perform job-related tasks other than those specifically presented in this description.
Addresses complaints and resolves problems while remaining calm under pressure and maintaining exemplary customer service.
Coordinates with clientele as assigned and reviews production schedule and room layouts based upon event needs while keeping detailed notes as necessary.
Determines timing and event requirements based upon client requests, meets and enforces deadlines with limited supervision, and provides onsite coordination to ensure smooth execution of events, including real-time management and troubleshooting.
Ensures that setup of in-house and/or 3rd party equipment is in accordance with lease requirements, room layouts, and follows safety standards as related to fire and life-safety codes.
Directs the work of contract personnel including, but not limited to ushers, security guards, caterers, and decorators, and indirectly supervises all event support staff.
May be assigned as secondary contact for large-scale events and conferences.
Typical Qualifications

Education and Experience:
High School diploma or G.E.D. equivalency; 0 to 1 years' experience in customer service, client relations and hospitality or related field
OR
Any equivalent combination of training and/or experience that provides the required knowledge, skills and abilities may be substituted
Preferred Qualifications:
Event Coordinator experience
Experience in event management software i.e. Event Draw and Ungerboeck

Strong skill in Microsoft Excel, Power Point, Outlook, and Internet programs

Proficiency with prioritizing multi-faceted tasks, including detailing multiple events simultaneously while maintaining high quality expectations

Work Environment and Physical Effort:
Medium: Exerting up to 50 pounds of force occasionally, up to 25 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
Work Environment:
Work is typically performed in an office or similar indoor environment. Employees may occasionally work in an outdoor or street (near moving traffic) environment, in confined spaces, warehouse and shop environments and in a vehicle.
Work Exposures:
Work in this position does not require frequent environmental exposures. Employees may occasionally be exposed to moving mechanical parts and loud noises.
