?The Part-Time Admin Specialist Role ?
As an Admin Assistant, your main goal will be to collaborate with our internal and sales teams, supporting day-to-day financial and administrative operations.

• Create, validate, and track Purchase Orders (POs) for multiple departments following internal policies.
• Ensure that all purchase requests include the correct documentation (quotes, budget codes, and approvals).
• Follow up with Finance and Accounting on invoice processing, payment timelines, and supplier status.
• Verify invoice accuracy and match them with the corresponding POs.
• Maintain organized tracking sheets for budgets, purchases, and vendor communications.
• Support monthly and quarterly reconciliations by providing complete and accurate administrative data.
• Assist with the preparation and organization of invoices and purchase documentation.
• Coordinate with suppliers for quotes, order confirmations, and deliveries.
• Support internal teams (Marketing, Sales, and Operations) with administrative tasks and logistics needs.
• Help maintain internal databases and shared documentation up to date.
• Ensure compliance with internal procedures and support process improvement initiatives.

?? You will be successful in this role if ??

• A High School Diploma
• Strong organizational and time management skills, with high attention to detail.
• Experience in administrative coordination, purchase order processing, or finance support.
• Proficient with Microsoft Office / Google Workspace (especially Excel or Sheets).
• Familiar with invoice or procurement tools (e.g., Tipalti, Coupa, SAP, or similar).

It would be fantastic if

• Experience in a startup or scale-up environment.
• Knowledge of basic accounting or procurement processes.
• Familiarity with budget management or vendor coordination.
