About the Role
IMS is looking for a full-time Parts & Service Coordinator to support our growing company. The Parts & Service Coordinator is the primary customer-facing representative of IMS -- serving as the first point of contact both in-person and over the phone. In addition to managing the spare parts program and coordinating service requests, this role ensures customers experience a warm, professional, and reliable interaction every time they engage with IMS.
You'll support operational flow, coordinate with technicians and vendors, assist with purchasing processes, and maintain a welcoming and organized office environment. This role is ideal for someone who is service-minded, detail-focused, communicative, and confident in a customer-facing position.
Key Responsibilities
Front Desk & Customer Experience
Greet visitors, vendors, and customers serving as the face of the office
Answer incoming calls and route inquiries to the appropriate department
Spare Parts Coordination
Serve as the main point of contact for spare parts inquiries and requests
Identify required parts and prepare accurate quotes and order confirmations
Coordinate ordering, vendor communication, shipping logistics, and delivery timelines
Maintain records of part numbers, pricing history, supplier details, and inventory status
Service Support
Support the Service Manager in scheduling technicians and planning site visits
Ensure service work orders and follow-up actions are documented thoroughly
Communicate job updates and service timelines to customers
Create and manage purchase orders for parts and service work
Support invoicing workflows for accurate billing
Organize and maintain digital files for orders, service reports, and customer history
Qualifications
Required:
2+ years of customer service, inside sales, service coordination, logistics, or administrative support
Proficiency in Microsoft Excel (sorting, filtering, VLOOKUP basics)
Experience with QuickBooks or similar accounting/invoicing software
Familiarity with CRM or order management systems
Ability to learn new software platforms and follow structured workflows
Preferred:
Experience in industrial equipment, manufacturing, distribution, or technical service environments
Familiarity with purchasing, parts sourcing, or vendor management
Understanding of basic accounting processes (POs, invoices, cost tracking)
Pay: $24.00 - $25.00 per hour
Expected hours: 37.5 per week
