An Executive Assistant Trainee is a skilled professional who provides administrative support to executives and management in a well-organized and timely manner. This role involves handling various tasks to streamline their work and communications. As an individual contributor, you will provide personalized assistance, ensuring smooth operations and effective communication. Your responsibilities will range from managing schedules and correspondence to organizing meetings and maintaining confidentiality. We require someone who is proactive, detail-oriented, and possesses exceptional organizational and communication skills.
Responsibilities:
Maintain Executive's Agenda: Plan and schedule appointments, board meetings, and conferences.
Meeting Support: Attend meetings, take minutes, and ensure follow-up on action items.
Managing multiple or complex calendars for meetings, travel and personal commitments
Communication Management: Handle phone calls, emails, memos and other correspondence, redirecting them as necessary.
Reporting: Run reports as needed
Projects: Executive may have projects that will need to be brainstormed and completed.
Office Help: Help office run monthly reports, Orders, etc. as needed.
Travel Arrangements: Organize travel plans, including booking flights, hotels, and transportation.
Document Handling: Prepare, review, and manage confidential documents, ensuring their security.
Financial Tasks: Assist with bookkeeping, prepare invoices, and manage financial statements.
Skills and qualifications:
Excellent time management and organization skills, especially the ability to prioritize and multitask
Must have experience and be proficient in Microsoft office (excel, powerpoint, outlook, word, etc)
Effective and professional communication abilities, including being able to communicate with all levels of employees, vendors and clients or guests
Professional writing capabilities, including emails, memos, letters and other industry-related reports, documents and correspondence
Project management skills, like goal setting, budget management and planning
Great customer service and interpersonal skills
Good computer skills, including basic troubleshooting skills
Familiarity with word processing software for creating and contributing to spreadsheets, drafting and sharing documents and creating engaging and informative presentations (e.g., Microsoft Office)
Committed to continuous learning and skill development.
Pay: $18.00 - $21.00 per hour
Expected hours: No more than 28.0 per week
