Responsibilities



Provide comprehensive executive administrative support, including preparing documents, proofreading materials, and transcribing notes to ensure clarity and professionalism. Must be resourceful in arranging temporary general labor as needed. Must be social media savvy and able to manage social media handles like Tiktok, Instagram. Coordinate projects by tracking deadlines, organizing resources, and communicating effectively with team members to keep initiatives on track. Handle all aspects of office management such as filing, data entry, maintaining office supplies, and overseeing front desk duties to create a welcoming environment. Utilize QuickBooks for basic bookkeeping tasks including invoicing, expense tracking, and financial record keeping. Plan and organize company or team events from start to finish--booking venues, managing invitations, preparing materials, and ensuring seamless execution. Professional phone etiquette while directing calls efficiently and courteously. Support personal assistant duties as needed--such as managing travel arrangements or handling confidential information with discretion. Ensure all records are accurately maintained through filing systems--both physical and digital--and perform regular audits for organization. Assist with customer service responsibilities by addressing inquiries promptly and professionally via phone or email. Research and provide support to the management for any important issues.

Experience



Proven administrative experience in an office setting with a strong background in clerical tasks such as filing, data entry, and document proofreading. Prior experience as a personal or executive assistant demonstrating calendar management, travel coordination, and confidential support. Familiarity with office management software including Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), Microsoft Outlook Calendar, QuickBooks, and DocuSign. Demonstrated ability to coordinate projects efficiently while managing multiple priorities in a fast-paced environment. Excellent organizational skills complemented by strong attention to detail and accuracy in all tasks performed. Exceptional communication skills with professional phone etiquette; capable of providing outstanding customer service across various channels. Ability to handle phone calls confidently while maintaining a friendly demeanor. Experience in event planning--from small meetings to larger corporate functions--showcasing your ability to manage logistics seamlessly.
