Position Summary
The Optical Receptionist is the first point of contact for patients in the optical department. This role provides front desk support, assists patients with scheduling and check-in, manages communication, and supports the optical team in delivering excellent customer service. The Optical Receptionist ensures an organized, welcoming, and efficient environment for both patients and staff.
Key Responsibilities
Greet and check in patients arriving for optical appointments.
Answer incoming calls, schedule appointments, and manage patient inquiries.
Respond to patient messages through phone, email, or the patient communication platform in a timely and professional manner.
Verify insurance coverage for optical services and products as needed.
Collect payments and process transactions accurately.
Maintain patient records, ensuring all information is current and accurate.
Order contact lenses and assist with tracking shipments, patient pickups, and manufacturer rebates.
Assist with patient flow between the optical shop and clinical staff.
Communicate with the Optical Manager regarding scheduling, supply needs, and patient concerns.
Support opticians with administrative tasks, such as preparing charts or organizing frame inventory.
Maintain a clean and welcoming reception area.
Uphold HIPAA, OSHA, and practice compliance standards.
Required Skills

Proficiency in using computers, scheduling software, and basic office equipment.

Professional demeanor and ability to handle confidential information.
Preferred Skills
Prior experience in an ophthalmology, optometry, or optical office.
Knowledge of vision insurance and billing processes.
Familiarity with electronic health records (EHR) or practice management systems.
Sales experience in optical products (frames, lenses, etc.).
Qualifications
High school diploma or equivalent required.
Minimum of 1 year in a customer service or administrative role.
Healthcare or optical office experience preferred but not required.
Ability to work flexible hours, including occasional evenings or weekends if needed.

Pay: $15.00 - $16.50 per hour
