About the Role



The

Operations Support Specialist

is the central hub for administrative, compliance, and operational accuracy across the organization.

This role requires a

highly organized, detail-driven

individual who excels at managing multi-step processes, coordinating between departments, and ensuring flawless execution of critical back-office functions. The Operations Support Specialist supports Licensing, Contracts, Compliance Forms, Billing, Customer Care, Repairs, and acts as the operational backstop for the Shipping department. This role ensures smooth internal workflows, consistent customer experiences, and reliable day-to-day business continuity.

Key ResponsibilitiesI. Compliance, Licensing & Contract Administration



Licensing Management:

Oversee all licensing requirements, renewals, documentation, and approvals, ensuring 100% compliance with league, institutional, and partner standards.

Contract Processing:

Prepare, review, and manage incoming and outgoing contracts; ensure accuracy, completeness, and proper internal routing.

Forms & Compliance:

Maintain and administer all compliance-related forms and data, ensuring timely completion, proper storage, and audit-ready accuracy.

II. Billing & Accounts Receivable



Billing Process Coordination:

Update billing records, call customers on balances due, and ensure timely and accurate invoicing.

Data Integrity:

Maintain meticulous records across platforms, ensuring that all customer, order, and compliance data is organized, accessible, and error-free.

III. Customer Care Support & Repair Management



Customer Care Support:

Assist in responding to client inquiries related to billing, documentation, or post-purchase service needs.

Repairs & Service Requests:

Manage all incoming repair claims from start to finish, including claim intake, coordinating evaluations, tracking progress, and providing timely updates to both customers and internal teams. You will process incoming repairs, route them to the appropriate production facility, monitor each stage of the workflow, and ensure completed items are returned to customers promptly.

Issue Resolution:

Collaborate cross-functionally to troubleshoot and resolve customer concerns in a professional and timely manner. Proactively identify potential roadblocks, address issues early, and maintain strong communication with cross-functional partners and management to ensure smooth operations and exceptional service delivery.

IV. Shipping Department Backstop & Cross-Team Collaboration



Shipping Support:

Step in to assist with daily shipping tasks when needed, including checking quality, packing and label preparation.

Operational Continuity:

Provide backup coverage across core operational workflows to ensure smooth business operations during peak periods or staff absence.

Team Integration:

Maintain strong working relationships with internal partners (Sales, Production, Customer Care, Operations), contributing to a seamless and positive cross-team environment.

Essential Requirements



Proven experience in operations, administrative coordination, compliance, customer service, or a related support-focused role. Exceptional attention to detail and accuracy--especially with contracts, forms, and financial records. Strong organizational skills with the ability to manage multiple ongoing tasks and deadlines. Excellent written and verbal communication skills. Ability to collaborate effectively with cross-functional teams and contribute to a positive internal culture. High sense of urgency and accountability, especially when handling time-sensitive documentation or customer issues. Familiarity with operational systems, billing platforms, or CRM tools is a plus.
