Job Overview


We are seeking a detail-oriented and organized Operations Support Specialist / Scheduler to support our administrative and scheduling functions. This role is vital in ensuring smooth daily operations, providing exceptional customer service, and maintaining efficient office workflows. The ideal candidate will possess strong computer literacy, excellent communication and organizational skills. The ability to adapt seamlessly to daily changes in the schedule are a must.

Duties



Manage front desk responsibilities, including greeting visitors and handling phone systems with professional phone etiquette Communicate with contractors regarding scheduling through phone calls, texts and emails. Perform data entry, filing, and document proofreading to ensure accuracy and organization Utilize Google Workspace for correspondence, report creation, and scheduling tasks Support calendar management and appointment scheduling for team members or executives Assist with quoting, invoicing, and contract documents on multiple projects Provide customer support via phone or email, addressing inquiries promptly and professionally Coordinate office supplies procurement and maintain inventory levels Support office management activities such as organizing meetings, preparing agendas, and managing documentation Perform general clerical duties such as typing, organizing files, and supporting team members with personal assistant responsibilities

Skills



Proficiency with Google Workspace applications, AIA Contracts, Section 3 filings and other skills specific to commercial construction Ability to be flexible and manage changes in schedule which occur daily Strong organizational skills with the ability to prioritize tasks effectively Excellent communication skills, both verbal and written, including phone etiquette Ability to perform data entry accurately and efficiently with good typing speed Customer service skills with a professional demeanor in handling inquiries and support requests Ability to work independently as well as part of a team with strong time management skills
The successful candidate will play a key role in maintaining efficient scheduling while providing outstanding operational support to key personnel.

Pay: $45,000.00 - $55,000.00 per year
