The Undergraduate Medical Education (UME) department is seeking a highly organized and detail-oriented Operations Specialist to support the Preceptorship Program and the Rural and Urban Underserved Program (RUUP). This pivotal role requires a self-motivated individual who excels in a dynamic, multitasking environment and demonstrates strong initiative and independent decision-making.
The selected candidate will lead the administrative coordination of the UME Preceptorship Practical Immersion Experience (PIE) and continuity clinic programs. Responsibilities include facilitating clinical site and preceptor assignments for medical students across Albuquerque and throughout rural and urban communities in New Mexico, managing compliance and credentialing for over 300 students, and coordinating all related affiliation agreements.
In addition, this role supports RUUP's administrative and fiscal operations by organizing seminar series, overseeing the planning and execution of the RUUP Annual Conference, and coordinating student rotations with preceptors at rural clinical sites.
Additional duties and responsibilities include:
Manage daily administrative and fiscal activities for RUUP, including logistics for student seminars and rural rotations, and offer strategic and operational support for evolving departmental initiatives.
Oversee budget planning, forecasting, and reconciliation for RUUP and PIE programs, including travel, housing, and other reimbursements for participating students.
Facilitate and maintain agreements between volunteer preceptors, clinical sites, ensuring credentialing and student compliance requirements are fully met.
Provide operational support to both the RUUP Director and UME Preceptorship Director, coordinating program timelines, organizing meetings, and collaborating with key stakeholders to address and resolve issues related to students, preceptors, or clinical sites.

Conditions of Employment
Minimum Qualifications
High school diploma or GED; at least 7 years of experience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Preferred Qualifications
Demonstrated excellence in customer service, with strong interpersonal and communication skills within both team and cross-functional environments.
Prior experience with staff supervision, including hiring, mentoring, and professional development.
Proficient in financial oversight, including budget planning, expenditure tracking, and maintaining accurate records.
Advanced proficiency in Microsoft Office Suite (Word and Excel) and familiarity with project management tools such as Smartsheet (e.g., automation, dashboards, timeline management).
Proven ability to plan, execute, and manage programs in an academic or medical education setting.
A collaborative and creative problem-solver who thrives both independently and as part of a team.
