Position Summary

:

The Operations Manager is a key part of the leadership team responsible for analyzing and improving organizational processes including quality, productivity, and efficiency. Reporting to the Executive Director, the Operations Manager is second in command, tasked with overseeing the day-to-day operations, developing, and executing new growth directives, supervising staff, and ensuring the efficiency and effectiveness of the organization. The Operations Manager plans, directs, and coordinates the operations of Greenwood Rising managing daily activities as well as long-term, "big-picture" goals and planning. They are responsible for implementing policies and procedures that will improve operations to further the mission of the museum by implementing best practices across all levels. The Operations Manager also collaborates with other team members to create, design, organize, implement, supervise, and evaluate the volunteer program and activities.

Operations Management



? Demonstrate subject-matter knowledge of Greenwood Rising and the various exhibits.

? Ensure exhibition plans are thematically and operationally integrated.

? Establish and hold staff accountable to key performance indicators for both short-term and long-term success.

? Provide day-to-day oversight of the museum during core hours.

? Provide day-to-day supervision of staff, identify and delegate responsibilities to ensure objectives are met and excellent service is consistently achieved. Ensure the team is effective, productive, efficient, and delivers excellent customer service to guests, patrons, and donors.

? Create a positive guest experience by delivering a high level of service and ensure all staff members engage guests to exceed expectations.

? Work with Executive Director and other key individuals to assist in the creation of annual budgets.

? Assist in any areas of the museum when staffing constraints require.

? Conduct and attend staff meetings to discuss the needs of staff and resolve problems.

? Assist and participate in all set up, break down, and implementation of events and wrap up meetings.

? Promote the organization's positive, unique, and memorable impact on guests and fellow employees.

? Create and maintain a safe and productive space for staff, guests, and volunteers ensuring that regulations are enforced, and staff are properly trained.

? Manage operations with passion, integrity, and knowledge while promoting the culture and values of the organization.

? Focus on improving operational performance and implementation of best practices.

? Manage relationships/agreements with external partners/vendors.

Staff and Volunteer Management



? Regularly review operations and staff to identify any problems, concerns, and opportunities for improvement and enhancement.

? Provide coaching and feedback to staff and volunteers and assess performance on an ongoing basis; identify employee performance gaps and retrain as necessary.

? Manage the recruitment, training, recognition, placement, and evaluation of select staff and all volunteers.

? Develop and update staff and volunteer job descriptions, manuals, training materials, policies and procedures, and other support materials as needed.

? Evaluate existing volunteer programs annually and make changes and/or updates to the programs as needed to maximize their effectiveness for GR.

? Act as a resource for all staff working with volunteers, including mediating staff/volunteer relations, and implementing organizational and departmental policies. Serves as an advocate for volunteer resources within the organization as well as within the community. Regularly provide training to employees on how to effectively work with volunteers.

Supervision Received



The Operations Manager will report directly to the Executive Director. Work is performed under general direction, with the Executive Director setting overall objectives and determining resources available. The Operations Manager and Executive Director, in consultation, develop specific goals and business plans. The Operations Manager plans and carries out the work, resolves conflicts that arise, coordinates the work of others as necessary, and interprets policy on their own initiative in terms of established objectives. Work is reviewed periodically for adherence to established production, staffing, and objectives, effective and efficient functioning of operations, and adequacy of professional judgment.

Supervision Exercised



Exercises direct and administrative supervision over Docents and Volunteers.

Education and Experience



? Bachelor's Degree or equivalent work experience required.

? 5+ Years of proven experience in an operations role or equivalent position preferred.

? 3+ years of leadership and management experience required.

? Experience with MS Office and Google Suite.

Work Environment and Physical Demands



This position is a full-time, exempt position with typical hours of Monday-Friday 8:30-5:00 with occasional weekend work and hours exceeding 40 in a work week. Work takes place primarily in the museum/office setting. This position involves frequent sitting, standing walking, bending, stooping, and squatting.
