Operations Manager - NK Psychological Services

Part-time (20-30 hours/week), Primarily Remote with Periodic On-site Salary: $40,000-$50,000

NKPsych is a psychodynamic group practice in Chicago's South Loop combining clinical excellence with comprehensive fellowship training. We're seeking an experienced operations professional to build and manage systems that support exceptional clinical care.

The Role

We need an Operations Manager who can own the business infrastructure of our growing practice. This isn't about sitting at a front desk - it's about creating the systems, managing the vendors, and providing strategic operational support that allows our clinical team to focus on what they do best. You'll work primarily remotely with periodic on-site presence for supervision and coordination.

Key Responsibilities



Revenue Cycle & Financial Operations

Oversee revenue cycle management including claims submission, denial management, and appeals Handle complex client account issues including payment plans, financial hardship cases, and disputed charges Manage insurance verifications, benefits checks, and prior authorizations Submit and track claims through practice EHR, ensuring clean claim rates and timely filing Coordinate with accounting firm for financial reporting and reconciliation Step in when client billing becomes politically sensitive or requires strategic decision-making
Practice Development & Marketing

Maintain and nurture referral source relationships with physicians, schools, and community organizations Support practice promotion through professional networks and community outreach Track referral patterns and conversion rates to inform practice development Coordinate marketing initiatives and manage practice's professional presence Develop and maintain organizational partnerships that support referral flow
Direct Practice Support

Provide direct operational support to Executive Director Support fellowship recruitment and onboarding processes Manage special projects and practice development initiatives
Staff Supervision

Hire, train, and supervise hourly front desk staff Create coverage schedules and manage front desk operations Develop training materials and protocols for client-facing staff Handle escalations and complex client situations
Vendor & Facility Management

Oversee vendor relationships and service contracts Coordinate maintenance and facility needs (periodic on-site) Manage technology systems and troubleshoot issues Ensure HIPAA compliance across all operations

What We're Looking For



Required Experience

5+ years in healthcare operations, practice management, or similar role Demonstrated experience with medical billing, RCM, and claims processing Proven experience managing staff and building operational systems Experience with practice management software and EHR systems
Ideal Candidate

Has managed operations for mental health or medical practices Understands the political and financial complexities of client account management Can navigate insurance companies and advocate for claim payment Experienced in practice marketing and referral source development Comfortable working independently with minimal supervision

Work Structure



20-30 hours per week with flexible scheduling Primarily remote with on-site presence as needed (likely 1 day/week or less) Some availability during business hours for staff support Salaried position with expectation for consistent support but flexible execution
