In this dynamic role, you will support day-to-day operations across communication, scheduling, design coordination, materials management, project oversight, and administrative functions.
Your key responsibilities include:
Acting as the primary point of contact for clients, vendors, subcontractors, and visitors, ensuring clear, professional, and timely communication while proactively identifying stronger and more cost-effective vendor partnerships.
Managing front desk duties, company emails, and customer inquiries, and supporting the resolution of client concerns with professionalism and care.
Coordinating contractor and subcontractor schedules, preparing weekly project timelines, and ensuring field teams receive accurate and complete project information.
Supporting design and permitting tasks, including preparing permit layout drawings using 2020 Design software and or Bluebeam, organizing digital permit files, and visiting City Hall for permit follow-ups when needed.
Ordering materials, tracking deliveries, coordinating supplier pick-ups, organizing warehouse inventory, and preparing materials for upcoming projects using smart sheet.
Performing periodic site visits to track project progress, attending inspections when necessary, completing walkthroughs, and offering on-site support as needed.
Preparing change material orders, maintaining project documentation, assisting with invoice review, organizing project files, and supporting general administrative workflow.
Assisting with training new team members, keeping showroom design displays updated with current trends, and contributing to social media and brand-building activities.
Performing occasional light material deliveries using the company truck (rare occasions).
Qualifications
Preferred experience in construction, remodeling, operations coordination, or a related field.
Proven ability to collaborate effectively with team members, including sales and design staff, to maintain a cohesive workflow, assign tasks appropriately, and foster a positive and productive work environment.
Exceptional organizational skills with the capacity to manage multiple projects and priorities simultaneously.
Strong verbal and written communication skills, with a client-focused and professional approach.
Demonstrated ability to negotiate successfully with vendors and subcontractors to optimize project outcomes.
Familiarity with 2020 Design software and Bluebeam is preferred but not required.
Experience with Smartsheet and Excel is a plus.
Relevant front desk, customer service, or administrative experience with excellent interpersonal and communication skills.
Valid driver's license with a clean driving record.
Bilingual in Spanish is highly desirable.
